Description

We are offering an opportunity for an Executive Assistant in Palm Beach Gardens, Florida. As an Executive Assistant, you'll be an integral part of our team, undertaking a range of responsibilities in a demanding yet fulfilling environment. Your role will involve critical thinking, handling challenging situations, and managing a variety of office tasks.

Responsibilities

  • Manage and maintain calendars, ensuring all appointments and meetings are organized and communicated effectively
  • Utilize your critical thinking skills to solve problems and make decisions
  • Handle difficult situations and interactions with tact and professionalism on a daily basis
  • Oversee the management of the office, including ordering supplies and directing calls and walk-ins to the appropriate team member
  • Manage appointments for the General Manager, ensuring smooth coordination and communication
  • Utilize various software systems such as ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, and Kronos Timekeeping System for various administrative tasks
  • Provide comprehensive administrative assistance, including handling conference calls and correspondence
  • Ensure the office runs efficiently and effectively by keeping it well organized.

Requirements

  • Proven experience as an Executive Assistant or similar role within a professional business environment.
  • Proficient in office management systems and procedures.
  • Advanced knowledge of MS Office and ability to work with ADP - Financial Services.
  • Experience with Cisco Webex Meetings and Concur for arranging virtual meetings and managing expenses.
  • Familiarity with CRM for managing client interactions and data.
  • Proficiency in using Kronos Timekeeping System and About Time for tracking work hours.
  • Demonstrated ability in Calendar Management to organize and schedule appointments.
  • Strong Communication skills both written and verbal.
  • Experience in managing Conference Calls and Correspondence effectively.
  • Proven experience in providing Administrative Assistance.
  • Exceptional organizational and time management skills.
  • Ability to multitask and prioritize daily workload.
  • High level verbal and written communications skills.
  • Discretion and confidentiality.
  • High School degree; additional qualification as personal assistant would be considered an advantage.
