Patent Prosecution Case Manager
A leading national law firm is seeking an experienced Patent Prosecution Case Manager with over 5 years of experience in patent prosecution paralegal work. The ideal candidate will manage patent portfolios for multiple large clients and serve as the primary point of contact for both internal and client matters.
Key Responsibilities
- Act as the main contact for internal case matters and for clients.
- Open patent matters and instruct docket staff on important dates, such as bar dates, filing dates, and draft deadlines.
- Prepare and forward client reports, and assign new office actions and applications to attorneys.
- Track the progress of responses and applications, review client dockets, and follow up as necessary.
- Prepare and review budgets, and coordinate foreign filings.
- Manage internal pipeline reports and databases.
- Provide high-level assistance in preparing new patent applications, including provisional, non-provisional, continuation, divisional, continuation-in-part,
- 371, and Request for Continued Examination (RCE) applications.
- Review Notices of Allowance, prepare checklists, and ensure completeness before Issue Fee payment.
- Ensure the accurate creation of client file structures in iManage DeskSite.
- Assist with scheduling Examiner interviews and reconciling client dockets regularly.
- Review and edit pre-bills, distribute them for review, and ensure monthly billing is completed per firm and client deadlines.
- Participate in firm training opportunities, assist in cross-training staff, and promote a collaborative working environment.
- Maintain a positive and professional attitude, ensuring excellent client service and effective communication with legal staff, peers, and clients.
- 6 years of experience in patent prosecution.
- 4 years of experience managing multiple large clients or matters.
- Expertise in reviewing and reconciling patent dockets.
- Proficiency with USPTO’s Patent Center, Electronic Patent Assignment System (EPAS), Microsoft Word, Outlook, Excel, docket software, database management, and contact management.
- In-depth knowledge of patent-related laws, regulations, and the CFR, MPEP.
- Ability to work effectively with client databases to upload and report filings timely.

Requirements
- Possesses a minimum of 5 years of experience as a Paralegal
- Proficiency in utilizing Aderant, Adobe Acrobat, and Automated City Register Information System (ACRIS)
- Demonstrated ability to use Case Management Software and CompuLaw
- Knowledge of Billing Functions, Briefing, and Calendar Management
- Skilled in Claim Administration and has excellent Communication skills
- Has experience in working with ParaLegals and managing USPTO Filings and USPTO Searches
- Familiarity with Intellectual Property - Patent, Patent Prosecution, and Patent Law
- Experience in working with Patent - US Prov - Utility - Des - PCT, Foreign Patent, and Patent Application
- Proven track record in managing Patent Portfolio, Patents, and Patent Preparation
- Proficiency in conducting Patentability Searches and experience in U.S. Patent processes
