POSITION SUMMARY

We are seeking a highly organized and responsible part-time Administrative Assistant to join our team. In this position, you will perform clerical tasks, answer phones, and sort mail. Other duties will include helping office managers and executives prepare documents, organizing files, managing existing documents, and keeping the office organized, tidy, and running smoothly.

This is a temporary position, with work estimated to last three (3) months.

ESSENTILA DUTUES & RESPONSIBILITIES

  • Answer phone inquiries and direct calls for further information.
  • Scanning, and uploading company files and documents.
  • Perform data entry tasks accurately and efficiently.
  • Receive deliveries; sort and distribute incoming mail.
  • Utilize computer software and applications for daily tasks.
  • Assist in various daily operations.
  • Operate office equipment, such as photocopiers, printers, scanners, etc.
  • Organize and maintain files and databases in a confidential manner.
  • Manage communication including emails and phone calls.
  • Screen phone calls, redirect calls, and take messages.

MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, & ABILITIES)

  • High school diploma or equivalent qualification required.
  • A minimum of 2 years’ proven experience in a similar role.
  • Good understanding of office administration.
  • Ability to coordinate multiple projects simultaneously.
  • Superb written and verbal communication skills.
  • Strong knowledge of MS Office programs.
  • Ability to multitask and prioritize tasks.
  • Exceptional organizational skills and attention to detail.
  • Computer literacy with the ability to learn new software quickly.
