GENERAL SUMMARY
This position contributes to the success of the Client by providing general administrative support to the Anchorage, AK location.
RESPONSIBILITIES / ACCOUNTABILITIES
• Create a welcoming and warm environment for Client visitors and contractors. Maintain Client Security policy to ensure entrance to our property is monitored.
• Provide a high level of customer service and support to both internal and external customers in person and via email or telephone.
• Uses company software to reconcile daily routes by comparing delivery proofs and invoices, adds detailed notes to system, and communicates with all groups to make corrections if needed
• Schedule all new hire candidates which includes contacting candidates, printing handouts, passing out uniforms, scanning documents, and filing paperwork
• Conducts a weekly inventory of building supplies (office supplies, breakroom supplies, maintenance supplies) to ensure appropriate inventory levels are maintained
• Creates invoices as needed
• Sort mail and schedule pickup or delivery of shipments, advise teams of deliveries
• Maintain and update employee boards
• Being able to lift a minimum of 30lbs
• Perform general administrative support work such as running reports, copying, filing, faxing, creating presentations, updating reports, etc.
• Other administrative and customer support responsibilities as assigned
• Ad hoc responsibilities to fit the needs of the business
BASIC QUALIFICATION REQUIREMENTS
• High School Diploma or GED
• Prior customer service experience preferred
• Proficient use of basic business software (e.g., Microsoft EXCEL, Word, etc.) including the ability to create and manipulate spreadsheets.
• Efficient written and verbal communication skills. basic math skills (addition, subtraction, multiplication, division), and ability to operate common office equipment (e.g., fax machine, photocopier).
• Experience in prioritizing work and multi-tasking, with a strong sense of urgency
• Must be a strong team player and assist others when necessary
• Outstanding organization, time management, and follow-up skills
• Responsible and reliable
• Self-motivated and proactive. Aptitude to work with minimal supervision
