Job Description
- Provide clerical support to Director and Assistant Director of Maintenance & Operations/Transportation.
- Answer phones, maintain files, clerical functions, build spreadsheets, and create presentations.
- Maintain transportation work orders, purchase orders, billing, and budgets
- Maintain Driver Files
- Maintain Bus Routes
- Tend to office phone calls, deliveries and visitors.
- Aid staff in the use of Red Rover by creating absences and filling substitute jobs
- Acts as a communication liaison between bus drivers, transportation office staff, shop staff, administrative personnel, parents/guardians, and school staff).
- Respond to requests for information, provide direction and resources to ensure transportation activities comply with local, state, and federal regulations, and ensure appropriate and timely communications and responses to request for information.
- Assist other personnel as required to ensure an efficient and effective work environment
- Compiles data from a variety of sources (e.g., purchasing information, invoices, fiscal/budget information, employee/substitute time records, vehicle use/maintenance logs, employee data, inventory counts, scheduling logs, emergency care plans, trip tickets) to support the processing of data reports and information provided to others and knowledge used to document a variety of transportation functions, ensuring compliance with local, state and federal regulations.
- Assist in scheduling buses and support vehicles to ensure the availability and suitability of vehicles and drivers.
- Dispatches drivers and equipment in accordance with established procedures to provide a safe and effective transportation system.
- Works with department personnel to prepare purchase orders, order supplies, record receipts, and verify goods.
- Maintains a variety of manual and electronic documents, files, and records (e.g., vehicle records, trip and route records, student ridership records, budget/fiscal documents, correspondence, passes, pre-trip and trip records; employee records, employee time records, department reports, forms, and other data sources) to provide documentation for audit purposes and ensure compliance with local, state, and federal documentation regulations.
- Responds to emergencies to ensure appropriate response and requests assistance from others to handle the presenting incident.
- Assist in the scheduling of maintenance for support vehicles.
- Works with the Director of Maintenance & Operations/Transportation to coordinate the development of scheduled bus routes, including extra-curricular trips, to provide an effective and efficient transportation routing system.
- Other duties as assigned.
Minimum Qualifications
- High school diploma or general education degree (GED)
- One to two years experience and training, or equivalent combination of education and experience
- Successfully pass a skill review in math and computer management
- Personable, punctual, dependable, ability to deal with people, deal with stress, good time management skills, and good initiative.
- Ability to read and interpret documents, such as safety rules, operating and maintenance instructions, and procedure manuals
- Ability to write routine reports and correspondence
- Ability to speak effectively with patrons or employees of the organization
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, and diagram form.
- Bilingual Required (English/Spanish)
Physical Demands
- Physically able to occasionally lift and move up to twenty-five (25) pounds
- Able to walk, stand, sit, stoop, bend, reach and grasp as required to perform all duties successfully.
- Must meet state requirements for COVID 19 vaccination or an exemption to the COVID 19 vaccination as a condition of employment by the first day of work or October 18, 2021, whichever is later.
Terms of Employment
Starting Date: ASAP
Salary: Per Secretary Salary Schedule
Hours: 8.0 hrs/day, Monday - Friday, 8:00 - 4:30
Contracted Days: 216 days
