Credit Assistant

POSITION SUMMARY:

 

This position is responsible for providing administrative support to the Credit Department. This includes researching customer credit information, maintaining customer credit files, performing basic collections, clerical duties, and other duties that the Credit Manager may assign.

 

 

REGULAR DUTIES AND RESPONSIBILITIES:

 

Provide daily administrative support to the Credit Manager and Credit Department.

 

Process bank and trade references via email, phone, or fax, from incoming or existing credit applications, or at the request of the Credit Manager.  

 

Present completed credit applications to the Credit Manager for review and approval, and update customer credit limits and terms.

 

Notify customers via email of their approved credit terms and limits.

 

Process incoming and outgoing credit inquiries.

 

Email customers to attempt collection on past due invoices.

 

Cover the Credit Specialists in their absence, including releasing orders and contacting customers on past due invoices.

 

Collaborate and communicate with various departments on matters related to customer accounts.

 

Prepare final demand notifications and collection packets as directed by the Credit Manager and report information and payments to the third-party collection agency.

 

Monitor and respond to emails in the credit inbox.

 

Answer and direct incoming calls from the credit phone line.

 

Prepare weekly aging reports and bi-weekly delinquent account reports.

 

Assist with special projects as needed.

None

 

QUALIFICATIONS:

The Credit Assistant must have a minimum of one year of experience in a similar capacity, preferably in collections, including working in an office environment. This individual must be able to enter data quickly and accurately; and must have the ability to prioritize tasks and meet deadlines in a fast-paced environment. This position requires a strong attention to detail, a high level of accuracy, excellent organizational skills, and the ability to multi- task and effectively communicate with customers and co-workers. Must be proficient in MS Office.

 

PHYSICAL DEMANDS:

This position requires occasionally lifting to 20 lbs. Specific vision abilities required by this job include close vision, depth perception, and the ability to adjust focus. This position requires an individual to regularly sit, talk, and hear and requires the use of hands to finger, handle, feel, and reach with hands and arms. This position is in an office environment.
