Job Description:
The successful candidate will serve as program assistant to the Undergraduate Assistant Program Director/Chair and Associate Dean of Academic Affairs/Global Education Programs and provides administrative and clerical support to the Program Director/Chair and Faculty.
Responsibilities Include:
Program Assistant to the Undergraduate BSN Program Program Director and Faculty
- Assists in the preparation and management of grants, reports and other documents.
- Supports Program Director's calendar.
- Posts all syllabi and other documents as instructed to the DHCON SharePoint site.
- Prepares agendas, distributes materials and takes minutes for meetings.
- Prepares, revises and creates documents/templates including Plan of Study, curriculum maps, faculty workload, faculty course evals.
- Arranges editing and formatting of university, college and program documents (student guide, university catalogue) under supervision of Program Director/Chair.
- Completes university required student documentation for licensure (NCLEX).
Budget Monitoring, Tracking and Analysis
- Prepares and submits purchase requests, expense vouchers and purchase orders.
- Maintains budget and expenses including p-card reconciliation.
Student Services
- Maintains correspondence and records related to Academic Standards.
- Assists in the coordination, planning and execution of student events.
- Collaborates with and supports the Program Director/Chair and faculty for academic advisement, including maintenance of electronic/hard copy student files.
- Collaborates with the Program Director/Chair to manage course schedules, enrollment and waitlist.
- Maintains tracking of employment status of graduates.
- Provides/guides students with information related to credentials/NCLEX testing requirements and process.
- Maintains tracking of self-reported credentialing/NCLEX.
- Assigns academic advisors in university systems.
GLOBAL EDUCATION PROGRAM:
Coordinate Logistics
- Arrange reservations for air, ground transportation in US and in-country, and lodging.
- Assist in scheduling orientation and debriefing meetings.
- Organize pre-trip necessities: name tags, luggage tags, t-shirts.
- Manage required paperwork for visiting countries.
- Oversee travel requirements to practice in global settings, including licensure,
- visas, and vaccination requirements.
Manage
- Collaborate with and serve on the DHCON Global Education committee.
- Manage applications systems and develop new program applications.
- Provide oversight in recruitment and marketing activities of the global programs.
- Update and maintain website.
- Collaborate with DHCON Global Education committee on fundraising activities.
- Manage DHCON global budget.
- Collaborates with DHCON Global Education committee to manage program evaluation data.
Special Logistics
- Support Program Evaluating activities such as ATI, eStar, ExamSoft, Infosilem and E*Value.
- Completes clerical work for DHCON including filing, mail, answering phones, and covering dean's office (as needed).
- Assist with other duties as assigned.

Knowledge and Skills Needed:
- Associate Degree required, Bachelor's Degree preferred;
- Experience in administrative support of director/chair/faculty and interaction with students;
- Knowledge of academic processes and documents preferred;
- Experience with nursing or other health discipline education programs highly desirable;
- Ability to develop, organize and complete projects and tasks utilizing various computer applications such as Microsoft Office 365, Outlook, Word, Excel, and Publishing Software
- Ability to learn, implement and apply internal software applications such as Colleague, Reporting Services, Day Force, Adjunct Payroll System, eBuy, eStar, E*Value, ExamSoft, Infosilem, Office 365, and Zoom;
- Excellent customer service and communication skills;
- Excellent problem assessment, problem solving, prioritization, and judgment capabilities;
- Ability to manage multiple tasks/priorities at a time;
- Maintains confidentiality and security procedures related to records and other information;
- Demonstrates significant initiative and ability to self-organize within established priorities in consultation with the Program Director
