    About the Position:

    Saint Ignatius High School, a highly successful Jesuit college preparatory school for boys in Cleveland, Ohio, is seeking an experienced Administrative Assistant to the Assistant Principal for Academics. The Administrative Assistant will support the mission of Saint Ignatius High School and the Principal’s Office by providing a high level of administrative duties such as management of the substitute system, processing student transcript requests, performing various daily tasks and participating in a wide range of special projects. The ideal candidate will possess a warm, discerning customer service personality and bring the necessary skill set to perform, coordinate and oversee administrative duties while providing an extensive level of support to the Assistant Principal for Academics. This is a full-time, nonexempt, 12-month position working throughout the calendar year.

    Primary Areas of Responsibility:
    • Serve as the administrative assistant to the Assistant Principal for Academics with the necessary, and confidential administrative duties performed daily
    • Process transcript requests for alumni
    • Assist students and parents with academic related inquiries
    • Prepare spreadsheets, process and keep records of on withdrawals, accepted transfers, failures and non-passing grades, student awards, honor roll recognition, AP exam billing
    • Distribute mail and maintain files
    • Process academic integrity reports
    • Coordinate National Merit recognition and annual recognition event
    • Maintain and update student record database as needed
    • Provide substitutes for faculty and maintain substitute records on a daily basis.
    • Greet and assist visitors to the Principal’s Office and collaborate with other office personnel and departments to help establish and maintain a productive, efficient, and collegial working environment
    • Handle phone, email and postal mail inquiries and respond appropriately
    • Draft and edit correspondences
    • Create a warm, professional, confidential environment and provide high quality service and assistance to all school community members including students, parents, teachers, staff, and visitors to the Principal’s office
    • Commitment to excellence - perform duties at the highest level possible on a consistent basis
    • Ability to function well in a high-paced environment; performs additional duties as assigned by executives

    Qualifications:
    • Associate's degree or equivalent, preferred
    • Proven experience in an administrative office setting; educational office experience preferred
    • Excellent communication skills (oral and written) and knowledge of standard clerical procedures and office operations, including proper telephone and e-mail etiquette
    • Advance experience with various software applications, including but not limited to, Microsoft Word, Office, Excel, PowerPoint, Publisher, and Google Docs etc. (experience with PowerSchool
    • Ability to make decisions without close supervision; must be forward-thinking, accurate, efficient, and capable of handling detailed work
    • Excellent public relation skills including courteousness, tact, and good verbal and written communications
    • Respectful at all times of confidential information
    • Technology competent and comfortable managing and maintaining large data sets
    • Ability to maintain self-control and complete tasks regardless of frequent interruptions
    • High degree of initiative and independent judgment
    • Ability to organize work, engage in a variety of tasks, and consistently meet deadlines.
    • Flexibility and willingness to embrace growth and change
    • Willingness to engage in personal educational

    Saint Ignatius High School is a Jesuit college-preparatory school with a Catholic tradition rooted in the Spiritual Exercises of St. Ignatius of Loyola. The school enrolls more than 1,450 students from 40 cities in a seven-county region.
