The Human Resources department at Saint Joseph's College seeks a dynamic and energetic individual for the position of Employment Coordinator.
- This person will support the HR department by coordinating staff, faculty, and student recruitment; arranging the onboarding, orientation, and offboarding processes;
- performing Human Resources functions to address the needs of the office; providing supervision of the student support team;
and serving as a versatile contributor of the Human Resources team. Customer service is an integral focus in this position.
Position duties will include :
- Working with hiring managers throughout the recruitment process lifecycle, including providing support for job advertising language and posting sites, proper candidate evaluation and interview processes, and completing professional references
- Coordinating student employment, communicating with and providing support to hiring managers and students, maintaining confidential records, and processing records accordingly throughout the academic year
- Assisting with the presentation and delivery of employment offers
- Ensuring that each search is kept up to date in the recruitment database
- Participating in the interview process to assess skill set and cultural fit
- Responding to recruitment inquiries from candidates and hiring managers
- Providing assistance for the Applicant Tracking System to hiring managers and search committee members
- Providing required paperwork to new hires electronically (or hardcopy if needed) and ensuring the completion of all documents, background checks, I-9 forms and other hiring requirements
- Coordinating the new hire orientation presentation and SJC Community Day event
- Producing student hiring documents for payroll and file management
- Communicating with appropriate departments as needed to inform of onboarding and offboarding activities, including having knowledge of College property prior to last day, flex dollars, credit cards, etc.
- Conducting an exit interview with employees to gather feedback and collect College property
- Assisting with preparing training presentations
- Creating HR reports as requested / needed
- Assisting with updating of employment manuals
- Data entry of information into HRIS and filing of HR documents
- Assisting with planning and executing the annual employee celebration
- Recruiting and training quality student staff for the Human Resources office
- Coaching and mentoring HR student staff in setting goals, creating action plans, and time management while fostering a team environment
- Inspiring new thinking, a creative approach and the highest possible standards of performance in the HR student staff
- Managing performance of HR student staff including conducting performance reviews, coaching sessions, and disciplinary actions in a professional and timely manner
- Managing timely approval of bi-weekly timesheets and time off request processes for HR student staff
Minimum Requirements :
- Bachelor’s degree preferred in Human Resources Management or Business; or a combination of Human Resources certification, Human Resources education and 1-2 years Human Resources experience preferred
- Experience in a busy office environment
- 1-2 years of experience in a Human Resources or Payroll department perferred
Supervision and Scheduling Demands :
Receives moderate supervision. Full-time administrative hourly staff position with estimated regular hours of 35 per week in HR office on campus setting.
Occasional evening and weekend work. No traveling required.
Expected Knowledge, Skills, Abilities :
- Technically savvy of computer programs including Microsoft Office Suite and the Google platform, experience with an HRIS and ATS preferred
- Ability to work effectively with a wide range of people and effective customer service skills.
- Attention to detail and accuracy with data entry
- Perform detailed work using reasoning and problem solving skills, performing multiple concurrent tasks with constant interruptions
- Demonstrated organization and time management skills, including the ability to effectively prioritize tasks
- Effective oral and written communication skills
- Skilled with basic mathematics
- The ability to read and comprehend documents and instruments
- Able to maintain confidential data
- An ability and willingness to continue job related training
- A demonstrated positive attitude and professional demeanor
- Tolerates work related stress effectively and maintains self-control / professionalism
