Title: Unit Secretary / Scheduler - Imaging
FTE: Per Diem
Schedule: Variable shifts between 7:30AM - 5:00PM
Holiday Rotation: None

POSITION SUMMARY
Position is responsible for providing exceptional customer service as the principle contact for patients in the Medical Imaging Department. This position is responsible for obtaining all information necessary for the scheduling of procedures, performing general clerical work, maintaining open lines of communication between Medical Imaging, physicians, and other departments within the Hospital.
POSITION TECHNICAL RESPONSIBILITIES
- Schedule patient examinations, properly coordinate exam types and give appropriate instructions to patients regarding time, date and exam preparation
- Coordinate lab services for imaging patients
- Communicate any schedule changes in a timely manner
- Answer phones and transfer or communicate all messages completely and in a timely manner
- Greet all customers utilizing skills consistent with quality customer service standards
- Verify all patient demographic information, including insurance plans
- Accurately enter patient demographic and insurance information, prior authorization and confirmations into the electronic health record
- Collect copays, deductibles and/or any self-pay balances (cash, checks, credit card payments) and provide receipts for all payments collected
- Identify patient with two unique identifiers and place wrist band on patient when appropriate
- Address and identify patients’ communication needs, contacting an interpreter when necessary
- Monitor patients and family in the waiting room, ensuring their needs are being met while waiting
- Obtain and enter appropriate imaging order in the electronic medical record
- Communicate changes in the schedule, emergency or STAT situations, messages, etc.
- Maintain open line of communication with physicians, their office staff, and other departments within the Hospital
- Call next day's scheduled patients to remind them of appointment
- Complete forms and obtain signatures to accompany outpatients, i.e.: Medicare secondary payer, Important Message from Medicare, among others
- Work closely with the Business Office on accounts
- Work with the radiologist billing company to provide demographics, orders, and reports
- Compile information and record and distribute reports, orders, and notes to appropriate organizations, physicians, and clinical staff
- Contact online carriers to determine insurance eligibility
- Keep current on insurance company specifics
- Scan, distribute faxes, direct patients and visitors, screen sales people, sign for package and monitor maintenance and upkeep of office machinery
- Follow department policy for reporting malfunctioning equipment
- General secretarial functions, such as filing, mail and maintaining office supplies
- Compile information and records. Transcribes staff meetings and Committee minutes
- Provide demographics, orders, and report to the radiologist billing company
- Keep waiting room and work area neat and orderly
- Assist with Quality Improvement projects
- Other duties as assigned
