Job Description
Overview:
As a Service Operations Coordinator for Scaled Agile, you will be able to join a rapidly expanding and dynamic organization. You will be a critical part of our Customer Success teams, taking charge in both webinars, meet-ups and other small scale events. Your responsibilities will include arranging trainings, social, workshops, user-groups, catering, communications, and community on-boarding.
What you’ll be doing:
- Coordinate with our Partners and Enterprise Customers, SAI Regional teams, SAI Advisors, SAI Marketing and SAI Customer Success teams regarding training schedule, trainer/facilitator and location logistics requirements
- Responsible for identifying dates, venues and instructors for Scaled Agile public Implementing SAFe courses.
- Responsible for coordinating with Marketing on plan for Scaled Agile public and co-market course promotion activities.
- Create and maintain all Scaled Agile Public and Co-Market course registration pages and upload student attendance rosters.
- Negotiate and confirm off-site training locations for Scaled Agile Public courses
- Vendor Management for Workbook/handout printing, Supply and Catering
- Coordinate SPCT guide pairings with the Expert Programs team.
- Coordinate with Expert Programs team for SPC co-trainer applications and approval of co-trainer for Scaled Agile public, co-market, customer and partner course delivery.
- Coordinate dates and logistics of Alpha, Beta and GA service delivery.
- Coordinate drafting of contracts with the Legal team for 1099 Advisory Services contractors in support of delivery.
- Coordinate management of 1099 Advisory Services contractor invoices
- New Delivery Service identification, inclusive of working with Pricing and Packaging Stakeholders to create datasheets, add to price list and into quoting system
- Review and approval of Customer and Partner service delivery SOW’s
- Maintain accurate records within SalesForce and Contract Folders
- Maintain training schedule and coordinate all course registration updates
- Prepare training room and materials for on-site classes and coordinate with off-site facilitator(s)/trainer(s)/poc to ensure a superior training experience
- Manage attendance roster for each class. Ensure the roster is accurate, and payment has been received for each student. Handle all course cancellations/transfers
- Ensure rosters for SAI training classes are uploaded to the Community Platform in a timely manner (SLA – process on date of receipt between 8-5 Monday through Friday)
- Support the communication to the remote Advisory team, helping to keep them engaged, informed
- Facilitate setup (video, conference line, etc.) of company and team meetings including the remote Advisory team, supporting their remote participation
- Help to identify potential process improvements and work with other stakeholders to execute and document any changes.
- Track forecasted delivery revenue across Public Training, Co-Market and Services to provide visibility and identify trends
Qualifications
What you’ll bring to the role:
- 2 years experience as a coordinator, or similar experience providing support to a growing organization
- Ability to schedule training, set up facilities for training, and access all site users
- Advanced skills in MS Office to include Word, Excel, and PowerPoint
- Advanced skills in using Google Suite (G Docs, sheets, slides, etc.)
- Comfortable working in dynamic work environment with changing deadlines
- Detail oriented, with strong follow-through and communication skills
- Hours/Shift: Core business hours, need to be flexible during peak times, including Boulder social events
- Comfortable with manipulating data
- Flexible in schedule and activity, very dynamic work environment
- Will be managing a complicated planning schedule and there will be last minute changes, candidates need to be able to operate under a lot of uncertainty
Additional Information
Location:
Scaled Agile is headquartered in Boulder, CO, although we are currently working remotely and providing the office as a resource to our team members. This position requires proximity to our Boulder office for in-person events. #LI-Remote
Compensation:
Scaled Agile is committed to fair and equitable compensation practices. The target salary range for US-based candidates is $55,000 - $70,000. Final compensation for this role will be determined by various factors such as a candidate's relevant work experience, skills, and certifications.
Employees of Scaled Agile are also compensated with a competitive benefits package including medical, dental, vision, optional insurance products including pet insurance, 401K with a match, flexible paid time off, company-paid sabbatical after six years of service, bonus plan, and equity options.
