What are the responsibilities and job description for the Human Resources (HR) Coordinator position at Security First Managers LLC?
Summary of Position:
Performs varied clerical activities for Security First Managers (Company) to support the day-to-day operations of the human resources department. Work involves performing a variety of tasks around HRIS, recruitment, hiring, onboarding/offboarding, compliance, benefits, leave of absence, and general employee support.
Work is performed under general supervision with moderate latitude in the use of initiative. Position relies on experience to determine the best approach by using and interpreting policies and procedures.
Essential Job Functions:
- Coordinates and assists with key HR processes including recruitment, background checks, hiring, on-boarding, leaves of absence, and terminations
- Maintains accurate and confidential HR files, provides administrative support, and manages employee benefit files and records, ensuring completeness and accuracy of employee details
- Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.
- Acts as a liaison between the organization and other external benefits providers and vendors
- Assists in planning and executing special events, employee activities, and recruiting coordination, including, but not limited to, benefits enrollment, communications, training, meetings, recognition events, new hire meets and greets, well-being programs, interviews, internship programs, and job fairs
- Learns and explains employment benefits and key site policies to new hires during initial onboarding; provides benefit information after separation
- Completes Forms I-9, verify I-9 documentation; audits and maintains I-9 records
- Acts as a resource for employees and/or managers in answering human resource-related questions; provides alternatives and facilitates decision-making
- Analyzes complex situations, identifying key issues, and formulating effective solutions
- Maintains a customer service orientation and positive image of the Company; provides courteous, prompt, and professional approach to exchanging information and resolving issues; adheres to strict confidentiality requirements
- Responds to emergency call-ins for weather incidents, natural disasters, or other critical events
- Maintains positive communication and interaction with Company personnel, representatives from external organizations, and the public
- Ensures prompt and efficient processing of a higher volume of insurance claims in the aftermath of catastrophic weather events, working additional hours as necessary
Supervisory Responsibilities:
- This position has no supervisory responsibilities.
Minimum Requirements:
- Two (2) years of human resources experience required
Certifications and Licenses:
- May be required to possess a valid state of Florida drivers license
Preferred Qualifications:
- Bachelors degree
- HR Certification Institute (HRCI) Professional in Human Resources (PHR) certificate or Society of Human Resource Management (SHRM) Certified Professional (CP) certification
Required Knowledge, Skills, and Abilities:
- Basic knowledge of current federal and state regulations applicable to payroll, employee benefits, records management, and general human resources support
- Knowledge of principles and processes for providing high quality and efficient customer service
- Knowledge of clerical procedures and systems such as word processing, managing files and records, and other office procedures
- Skill in communicating and understanding information in English, both orally and in writing and ability to follow oral and written instructions
- Skill in the use of Microsoft Office products (Word, Outlook, and Excel) and applicable department and organization specific software and ability to learn and become proficient in the use of other specialized software as may be required
- Skill in using mathematics required for the work
- Ability to apply discretion and appropriate security measures in handling confidential and sensitive information
- Ability to learn and become proficient in current HRIS and applicant tracking systems
- Ability to operate with integrity and establish trust in professional relationships and decision-making
- Ability to clearly communicate and understand information in English, both orally and in writing
- Ability to follow oral and written instructions
- Ability to read, update, and maintain various records and files in numerical, alphabetical, or chronological sequence
- Ability to review, compile, and organize forms, documents, and related records for efficient processing and ready retrieval
- Ability to regularly attend work and arrive punctually for designated work schedule

Physical Requirements:
Depending on functional area of assignment, tasks involve the ability to exert light physical effort in sedentary to light work, which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (up to 20 pounds). Tasks may involve extended periods of time at a keyboard or workstation and periods of time standing and/or walking.
Environmental Requirements:
Tasks are regularly performed inside without exposure to adverse environmental conditions (e.g., dirt, cold, rain, fumes).
Sensory Requirements:
Some tasks require ability to operate, activate, use, prepare, inspect, detect, and/or position objects. Some tasks require the ability to perceive and discriminate between cues or signals. Some tasks require the ability to communicate effectively.
