Provide customer service to citizens along with internal and external departments. Answer questions of basic to moderate complexity pertaining to real property as recorded in existing transfer records databases and as listed on existing tax roll. Update transfer records database utilizing Record Management Systems (Clerk RMS) according to documents recorded with the Register of Deeds and received from Court System while ensuring accurate information is reflected in transfer records database for property history purposes.

Update and Maintain Transfer Records Database in Clerk RMS
Prepare transfer report and court documents by reviewing each document and using critical thinking skills to determine whether document meets criteria to be processed.
Process transfer report pages and court documents by using Aumentum tax system to locate and verify real property parcel information based off of included legal descriptions, which can range from simple platted lot block subdivision descriptions, to unplatted metes and bounds descriptions that contain degrees, minutes, and seconds, along with arc tangents for curved boundary lines. Accurately and efficiently update parcel information into Clerk RMS transfer record database.
Update Clerk RMS transfer record database for documents containing splits with parcel information received from coworkers.
Work with internal and external departments to research and reconcile any changes, questions, or inequities found in transfer record databases by tracing property history as far back as the 1870’s.

Answer questions of basic to moderate complexity pertaining to real property as recorded in existing transfer records databases and as listed on existing tax roll. Direct citizen inquiries to appropriate department
Answer basic to moderate questions from property owners, title companies & agents pertaining to real property as recorded in existing transfer records databases and as listed on existing tax roll. Direct citizen’s request via email, walk in, phone calls and/or inter departments of the Sedgwick County Courthouse.
Research ownership through Register of Deeds (ROD), Clerk RMS using manual & electronic transfer books, ROD/RMS, Full Court System/Legacy records system. Match ownership, verify. Update tax roll utilizing Aumentum including transfers of real property ownership. Contact title companies, attorneys & individual taxpayers to ensure clear title/accurate information is reflected on tax roll.
Locate real property via Geographic Information System (GIS) web portal or quarter section map and original plat documents. Other tools used for mapping include engineering ruler and land compass.

Assist Customers on How to Use Public Access Resources
Demonstrate Transfer Book research processes/techniques to citizens wanting to research property information.
Explain Historical Records SQL Database uses/functionality to citizens wanting to research property information. Elaborate on differences/limitations between transfer books and SQL database.
Describe GIS system to citizens wanting to research property information.
Illustrate Aumentum uses/functionality to citizens wanting to research property information.

Minimum Qualifications: High school diploma, GED or equivalent. Use of Microsoft Office

Preferred Qualifications: Associate’s Degree from an accredited college or university. One to two years customer service experience. Ability to read and understand legal descriptions.
