What are the responsibilities and job description for the Property Administrator position at Sentry Management?
Sentry Management, Inc. has an exciting opportunity for a Property Administrator at one of our new associations in the Boulder area.
Summary: This primary responsibility of the Property Administrator is to assist the General Manager in the operation and administration of the community by having the expertise to handle many of the tasks that are specialized to the Association.
Essential Duties and Responsibilities: (Other duties may be assigned.)
- To assist the General Manager in day-to-day management duties.
- Oversee and coordinate move-in/move-out efforts with homeowners
- Participate in social event organization
- The ability to function in manager’s absence including but not limited to the meeting and working with contractors, assisting the Associations’ legal counsel, etc.
- Effectively handle escalated and specialized calls in lieu of the manager.
- Interact Board Members as necessary.
- Have an understanding of financial statements.
- Have the ability to process invoices and code to the proper accounts in the absence of the manager.
- Assist manager in preparing for meetings and attend meetings as needed.
- Provide on-site presence with Board members, vendors, and homeowners.
- Perform inspections in the community and complete follow-up items as needed.
- An understanding of the Covenants, Conditions and Restrictions and Design guidelines of the Association.
- Prepare mailing information for management review, i.e., newsletter, notices, ballots, etc.
- Be the primary point of contact for architectural applications and violation letters for the Homeowners Association.
- Reviews accounts for homeowners requesting fines/late fees waived.
- Coordinate with vendors for estimates and repairs. Meet with vendors on site when necessary.
- Respond to Homeowners letters and phone calls regarding violations/fines.
- Coordinate meeting places and times.
- Initiate proactive services that optimize performance standards.
- Send architectural applications to review committee.
- Assist in the preparation of bids as requested. Compile bid information into analysis for management and Board review.
- Update information sheets and system database.
- Any other duties assigned by manager that assist in the effective management of the Association
Hours and Compensation
- Scheduled hours are Monday through Friday 8:30 am - 5:00 pm
- $21.00 - $28.00 per hour
