Serviam Girls Academy of Wilmington, Delaware is a Catholic, tuition-free middle school that educates girls in grades 5-8 from under-resourced communities. Serviam’s mission is to cultivate the potential of young women through a challenging, holistic education rooted in the Ursuline tradition. Serviam offers an extended day and year model, partnerships with families and community members, and support for students beyond graduation.

Position Overview:
The Development Event Assistant provides coordination and assistance in all aspects of fundraising events such as organizing event details and data, event promotion, day-of execution, and after-event acknowledgements and follow-up. S/he will coordinate and manage details in support of the Director of Development and volunteer event planning committees. The Event Assistant will organize and maintain administrative processes that help track participant engagement and facilitate communication with staff, committee members, and supporters to ensure a successful event. The Event Assistant must be able to function efficiently and effectively in a professional environment, exhibiting the utmost care and professionalism especially when handling details of a highly confidential and sensitive nature. He or she will work in-person at Serviam Girls Academy at our downtown Wilmington location during regular business hours. The role will also include some evening hours both remote and in-person. This is a part-time seasonal position initially January - May with maximum hours totaling 20 hours per week.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Organize and track gifts received, sponsorship logos, RSVPs, event timelines, and other event specific details.
- Communicate with sponsors and individual donors to gather information including guest lists, payments, vaccination status, and more.
- Manage online silent auction app and online presence by inputting item descriptions, acquiring photos of items, collecting payments, and scheduling pick-up of items.
- Help coordinate Gift-in-Kind solicitations, gift entry, acknowledgement, and donor recognition.
- Assist with printed event programs, donor interest cards, and other printed items.
- Assist with script and execution of spoken program
- Assist with the day of event, set-up, event coordination, and breakdown.
- Prepare and assist in leading event registration.
- Update electronic constituent management system with notes, interactions, gifts, and feedback.
- Manage seating arrangements and assist in catering details as needed
- Manage vendor payments, receipts and reimbursements, and check requests.
- Other duties as assigned.
QUALIFICATIONS
- 3 of administrative support experience required. Events experience is preferred.
- High school diploma or equivalent.
- Highly proficient in Google office as well as Word, Excel, PowerPoint.
- Strong skills in managing multiple projects at one time with an ever-present focus on details.
- Professional who values teamwork, is energized when working with diverse personalities, and remains flexible when priorities shift.
- Experience working with volunteers
- Experience tracking, organizing, summarizing, and communicating details of a project.
- Demonstrated independent initiative and problem-solving ability.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and good judgment, energized to deliver a quality product.
- Experience with donor management systems, especially “Bloomerang” is a plus.
- Demonstrated ability to handle confidential and sensitive information
- Ability to provide after-hour and flexible support as needed.
- Experience with events and fundraising is a plus.
