Position Purpose: Operations Ed Tech IV will work with the Supervisor of Operations, school staff and District Administration on all things pertaining to the Operations Department. The primary duties include: maintaining all Buildings and Grounds financial data to include but not limited to coding and processing billing receipts for multiple departments, programming facility security access for the entire district based on various ongoing requests, creating all staffing requisitions for the entire Operations Department in PeopleSoft, serve as backup person for telephone switchboard, receptionist, and general office duties, developing Purchase Orders and Requisitions on PeopleSoft system, organizing and updating of custodial work schedules across the district, and assisting with organizing and facilitating the Annual Custodial Workshop.
Qualifications
- Completion of standard high school diploma or equivalent with completion of college coursework desirable, or any equivalent experience or training which provides the required knowledge, skills and abilities.
- Knowledge of fund accounting principles and expense reimbursement practices.
- Exceptional keyboarding, approximately 60 words a minute, with ability to learn and effectively use various software, i.e. PeopleSoft, TMA and B.A.S.I.S.
- Possess a high level of independence. Decision-making, accuracy and constant attention to detail is imperative.
- Strong organizational and time management skills including the ability to handle multiple projects while meeting a demanding work schedule and adhering to all deadlines.
- Ability to maintain strict confidentiality of information.
- Serve as back up person for the telephone switchboard, receptionist, and general office duties.
- Develop Purchase Orders and Requisitions on PeopleSoft system.
- Skills pertinent to positive human relationships and the ability to work effectively with staff members and community in a multicultural setting.
- Above average attendance and ability as designated personnel to report on weather related days.
- Excellent communications skills both written and oral.
- Proficient knowledge and use of Microsoft Office software.
- Working knowledge of O.P.S. procedures and policies, principles and practices of the organization, preferred.
- Ability to operate various office machines such as copier, scanner and facsimile machine.
- Ability to collect, alphabetize and file department documents.
- Prepare, type, and proofread reports, letters, forms, schedules, and budget estimates.
RESPONSIBILITIES
- Maintaining all Buildings and Grounds financial data for multiple departments to include but not limited to coding and processing billing receipts and Visa statement reconciliation.
- Programming facility security access for the entire district based on various ongoing requests made from Principals, Secretaries and Head Custodians. This includes inputting proper times and locations to ensure that doors open and lock according to requests from schools based on activities. This also includes responding back to the school to ensure that proper schedule has been received and inputted properly.
- Creating all staffing requisitions for the entire Operations Department whenever an employee experiences a change of location or position within PeopleSoft.
- Processing work orders in TMA to include entering labor, cost data and various comments.
- Serve as back up person for telephone switchboard, receptionist, and general office duties. This includes covering for other secretaries at the Service Center at various times in order to keep office functioning in a professional manner.
- Develop Purchase Orders and Requisitions on PeopleSoft system. This includes the ability to assist other departments in various requests concerning the creation of and information pertaining to Purchase Orders as well as Requisitions.
- Organizing and updating of custodial work schedules across the district. This includes continual the district, working with Schoolhouse Planning to secure maps and square footages and returning new and updated schedules back to school staff for usage.
- Assisting with organizing and facilitating Annual Custodial Workshop.
