Overview
The Office Manager will organize and coordinate office and/or collaboration center administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. The Office Manager is responsible for overseeing assigned administrative procedures, inventory control, acting as onsite contact for landlord, maintaining assigned vendor relations, coordinating and tracking all building maintenance issues, and serving as a point of contact for certain Facilities related issues
A DAY IN THE LIFE
In this role, you will…
- Serve in an limited executive assistant capacity to certain assigned Leadership employees
- Function as Office Manager for assigned office location
- Act as the primary Point of Contact for maintenance, mailing, shipping, supplies/inventory, equipment, bills, and ad-hoc needs to support the local office
- Help organize certain catering requests
- Workout and resolve any conflicts regarding space/resource reservations
- Organize office operations and procedures
- Coordinate with IT department on office equipment needs
- Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
- Provide general support to visitors
- Responsible for working with facilities and HR to develop, implement and track compliance with office policies
- Perform review and analysis of special projects and keep management properly informed
- Responsible for providing certain office and/or collaboration center orientation and training to new employees
- Participate actively in the planning and execution of company events
- Prepare operational reports and schedules to ensure efficiency
- Monitor and maintain office supplies inventory (including kitchen supplies)
- Other duties as assigned

Responsibilities
DETAILED/OTHER JOB DUTIES
- Serve as the Executive Assistant and Office Manager for the local office
- Act as the primary Point of Contact for maintenance, mailing, shipping, supplies/inventory, equipment, bills, and ad-hoc needs to support the local office
- Oversee day-to-day office operations and procedures
- Coordinate with IT department on deployment and maintenance of all office equipment
- Ensure office efficiency is maintained by meeting with Facilities team to plan and implement equipment procurement, layouts and office systems
- Ensure that results are measured against standards, while making necessary changes along the way
- Perform review and analysis of special projects and keep Management properly informed
- Be responsible for facilitating orientation and training to new employees
- Provide general support to visitors
- Actively participate in the planning and execution of company events, including responsibility for all catering requests
- Complete required logs, operational reports and other paperwork, to include data collection, preparation and scheduled delivery of reporting
- Assist other departments with moving inventory throughout the building as needed
- Monitor and assist in secure shredding removal and storage
- All other duties as assigned
You will occasionally drive your own vehicle for a job duty so reliable transportation is required.
Qualifications
The anticipated salary range for this position is $45,000 - $55,000 /yr. Actual pay will be determined based on experience and other job-related factors as permitted by law.

MINIMUM QUALIFICATIONS
- High School Diploma or equivalent
- At least 5 years of relevant office experience and / or training, or equivalent combination of educations and experience
- Excellent verbal and written communication skills. Possess exceptional interpersonal communication skills.
- Assertive and resourceful; self-motivated; willing to ask questions and take initiative.
- Strong organizational, administrative, record keeping & time management skills
- Proficient in Microsoft office, Word, Excel, Powerpoint and Visio
- Ability to work independently on assigned tasks as well as to accept direction on given assignments.
- Must have valid driver’s license
- Must be able to lift in excess of 50 lbs.
- Ability to work collectively with the administration/facilities team associates.
Salary : $45,000 - $55,000
