What are the responsibilities and job description for the Customer Service Support position at SEW-EURODRIVE?
Basic Purpose:
Position involves monitoring the IGQuotes and IGOrders mailbox and distributing quote requests and purchase orders accordingly. Position will also be responsible for supporting the customer service team with administrative tasks such as scanning and filing paperwork, and sending order documentation to customers
1. Actual Tasks:
· Monitor IG Quotes mailbox, this includes reading and understanding the request in a timely manner to ensure prompt response, as well as assigning quotes to the appropriate party following standard quote mailbox procedure.
· Monitor IG Orders mailbox and forward all purchase orders in a timely manner to the appropriate party and follow standard order mailbox procedure.
· Communicate customer changes/updates on open orders to all parties in a timely manner.
· Scan Bill of Ladings for orders shipped previous day provided by logistics and send to appropriate party via email.
· Send physical Bill of Lading copies to Lyman via Intercompany Mail.
· Gather list of orders shipped previous day provided to you by logistics and send order documentation to customer. Order documentation includes but is not limited to: drawing(s), technical specifications, spare and wear parts list, and operating instructions.
· Scan and file all order related paperwork daily for all orders shipped previous day.
· Compile and email parts list as requested by customers.
· Assist the customer and/or customer service with any inquiry or problem concerning a customer order.
· Fill requests for literature and/or catalogs.
· Gather office supply list from Wellford Office Personnel and place Office Depot supply order monthly.
· Assist customer service group with entering quotations and order entry in the event that group is shorthanded, essentially be able to serve as a backup if need be (extensive training will be provided beforehand).
· Must comply with all current ISO Quality and Work Instructions for job, all Company Safety rules, and all other Company rules, policies and procedures.
· Assess each situation and do not perform any tasks for which he/she feels is unsafe, on which he/she has not received training, or engage in any unsafe work practices. Report any unsafe condition to his/her manager.
· Read and understand supporting documentation for the work area.
· Perform other tasks as requested.

· Ability to read and understand parts lists, catalogs, price books, general factory instructions and other technical documents.

3. Environmental:
· Work within SEW-EURODRIVE office environment with ability to operate equipment including telephones, computers, and fax machines.
· Work in Wellford office.
· This is an on-site position.
· Remain continuously within the normal work area.
· Position requires regular, predictable and punctual attendance and ability to work overtime as required, including weekends.
· Normal work hours are 8:00 am – 5:00 pm, Monday – Friday, with 1 hour for lunch and breaks combined.
· Wear OSHA approved personal protective equipment (PPE) where required by Company policy or where necessary as dictated by safe practice.
· Normal tasks accomplished at a desk, must be capable of accessing files, and moving and lifting binders, reports, and catalogs/literature.
4. Working Relationships:
Reports to the Manager of Customer Service within Industrial Gears.
