We are looking for an energetic experienced Events Manager to join our Development team and continue the success of our Corporate/Community Events!
Starting pay rate will depend upon experience, education and skills within our pay range.
JOB SUMMARY: Share Ourselves Events Manager leads the planning, management and execution of events and campaigns for the organization in coordination with development and marketing, related to organizational fundraising and awareness. Events will encompass virtual and in person events to include our signature fundraising events, donor cultivation events, peer-to-peer online fundraising, brand fundraising campaigns and future initiatives. This position includes managing logistics, vendors, venues, marketing, materials, budgets, and timelines to ensure that all activities are a success. In addition the Events Manager will provide support to internal stakeholders for community program events, community engagement and internal recognition events.
JOB RESPONSIBILITIES:
- Work with all Share Ourselves stakeholders and team members to ensure that events and campaigns are successful and reflect the organization’s mission and values.
- Manage and execute our “Signature” community fundraising events and lead development of new events.
- o Delivery of Exceptional event experience
- o Fundraising events creating and managing budgets, site/vendor selection, contract negotiation, vendor RFP coordination, and management of production timelines.
- o Coordinating logistics, maintain rental/supply order, manage vendor invoices/payment.
- o Coordinating outreach for “participant donors”, ticket sales, sponsorships, on-line and in person auctions, fundraising on-site efforts, managing all communications, materials, logistics, and day-of event needs.
- o Day of - Manage on-site operations ensuring all aspects run smoothly and troubleshooting any issues that may arise.
- o Organize and manage registration and attendee check-in processes
- Collaborates with Marketing for event design, social medica campaigns, marketing materials, swag, etc.
- Collaborates with Volunteer Program Manager for event volunteers (pre and day-of needs).
- Plan event debriefs to include comprehensive post-event summaries, collecting feedback and assist with follow-up communications, identify, and share event successes and opportunities for improvement.
- Help build and sustain Share Ourselves’ peer-to-peer giving program. Assisting donors to set up their fundraising page, providing template language for donors, help promote the program with donors, provider report on results throughout the year.
- Assist Community Programs Coordinator with planning and execution of Share Ourselves community program events.
- Assist Development staff with planning donor cultivation events. These may include group tours of our facilities, parlor events in donor’s homes or set up and invitations to events outside of Share Ourselves.
- Work with the development team to procure relationships with local brands for brand fundraising events.
- Assist and support the HR team with internal recognition events.
- Establish and drive event project plans; ensure milestones and deadlines are met.
- Prepare and maintain internal events calendar.
- Collaborate with internal team to create content for materials and communications related to all events. Content may include: emails, flyers, invitations, letters, website posts, social media campaigns and newsletters.
- Assist in maintaining the organization’s donor database, website, and other systems to ensure information related to fundraising is accurate and up-to-date.
- Support the CEO and CDO with Board-related events involving fundraising, awareness, and community engagement.
- Cultivate and build relationships with vendors, local business owners, restaurants and donors within the community to help support the Share Ourselves events and initiatives.
- Other duties as assigned.
QUALIFICATIONS:
- Strong organizational skills with attention to detail and the ability to prioritize multiple projects while meeting tight deadlines.
- Flexible, ability to work both independently without oversight, and also a team player who will productively engage with others at varying levels.
- A team member who is service oriented with high-level interpersonal skills.
- Excellent verbal and written communications skills, including the ability to document and translate business needs into event, contract and/or system requirements, process improvements, and policy changes.
- Strong ability for proofreading and editing.
- Ability to effectively present information and respond to questions from vendors, donors and staff.
- Sound judgment, integrity, and respect for confidentiality are required.
- Ability to extract input from colleagues and stakeholders and achieve successful project outcomes through strong consensus building and facilitation skills..
- Must maintain confidentiality of donor, volunteer and work related information and materials.
- Must be accountable for work performance.
- Must have a valid driver’s license and insurance to meet company driving requirements.
- Must be willing to work occasional evenings and weekends
EDUCATION and/or EXPERIENCE:
- Bachelor’s Degree strongly preferred;
- Minimum 3-4 years of direct event planning/management experience.
- Non-profit and/or fundraising experience strongly preferred.
- Demonstrated project management experience
- Proven expertise in technology Microsoft Office Suite, including Microsoft Excel, Word, Teams, PowerPoint and Canva. Knowledge of Raiser Edge or other donor database systems
- Proven expertise in social media applications
- Experience with MailChimp and Just Giving (or comparable peer-to-peer platform) strongly preferred.
WORK SITE - Given the collaborative and complex nature of this work, this role is “In-Person full time in the Newport Beach/Costa Mesa area.
