Shashi Hotel Group is currently searching for an Office Manager to join our growing team.
Responsibilities
- Respond to staff and visitor requests and anticipate their needs.
- Overseeing the work of all office employees to ensure they work productively and meet deadlines and company standards
- Counseling any employees struggling in their roles
- Answering telephone calls and emails from customers and clients and directing them to relevant staff
- Monitoring office supplies and ordering new stationery, furniture, appliances and electronics as required
- Assist and help coordinate office events and Hotel events (Housekeeping Week, Holiday Party, etc)
- Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order
- Reporting office progress to senior management and working with them to improve office operations and procedures
- Supports company operations by maintaining technical systems and platform
- Maintains office services by organizing office operations and procedures, preparing payroll, controlling correspondence, designing filing systems.
- Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
- Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
- Completes operational requirements by scheduling and assigning employees and following up on work results.
- Keeps management informed by reviewing and analyzing special reports, summarizing information, and identifying trends.
- Assist with new hire onboarding and training by completing assigned onboarding tasks and providing office orientations.
- Coordinate outgoing mail and delivery services and route incoming mail, deliveries, and publications.
- Maintain the general appearance of all common areas of the office, including the reception area, conference rooms, wellness room, kitchen/lunchroom (including loading and unloading the dishwasher).
- Participate in Hotel-wide committees; diversity, equity, and inclusion work; and internal culture-building.
Skills
- 2 years of experience in relevant fields
- Hotel experience preferred
- Time management and ability to meet deadlines
- Strong organizational skills and ability to multitask
- Problem-solving and decision making
- Proactivity and self-direction
- Experiences in a startup environment preferred
