This position will be responsible for achieving the overall objectives of the customer’s order while providing exceptional service to internal and external customers and to prospective customers. The Project Coordinator will be required to answer queries, handle complaints, and troubleshoot problems in a professional and polite manner to ensure effective resolution and customer satisfaction. The successful candidate will be assisting with the planning, scheduling, and setting objectives throughout the order phase, and will assist with RFI’s, invoices, and document control process as well as plan and ensure all delivery timelines are met. The ideal candidate will be able to identify and refer sales opportunities, refer questions and/or concerns to appropriate personnel, process customer transactions quickly and efficiently, and facilitate the use of alternate channels wherever possible.
Specific responsibilities:
Customer Service/Order Entry
- Answer all inquiries and phone calls, addressing concerns and status of orders in a timely period
- Review all new orders and ensure submissions are complete (Purchase orders, quotes, approved drawings, etc.)
- Enter parts orders into appropriate systems
- Send out order acknowledgments and shipping forms diligently
- Collaborate with Sales Managers, Planners, Logistic Coordinators, Purchasers, etc to ensure order execution from start to finish
- Work with Sales team to manage order delivery dates, Customer inventory levels and forecasted needs
- Responsible for the management of backlog in the assigned territory/market
- Secure customer signed Ship Confirmation Forms for all designated orders prior to releasing for production.
- Promptly complete progress and deposit invoicing when the shipment is delayed beyond the confirmed ship date, per policy
- Act as the single POC for all Customers, Sales Reps & Sales Managers
- Support regional forecasting
Planning/ Logistics
- Confirm if production is on schedule for meeting the customer’s delivery date and communicate timing concerns with the customer in a solution-based approach.
- Communicate our lead time to Inside Sales and Sales Representatives on a weekly basis
- Coordinate all shipment details with customer or customers contractor in order to facilitate on-time deliveries
- Communicate confirmed Customer deliveries to Logistics Coordinators in a timely manner enabling them to secure transportation
Knowledge and Skills
- 3 plus years of relevant work experience
- Fluency in oral and written English is a requirement
- Proven success with communication & customer service in a variety of service mediums
- Understanding and prior knowledge of the fuel tank market is an asset
- Demonstrated ability to learn new tools, software and technologies quickly
- Strong analytical, attention to detail, and problem-solving
- Comfortable in a fast-paced and evolving environment

Salary: From $55,000.00 per year
