What are the responsibilities and job description for the Recruiting Coordinator/Receptionist position at Shionogi?
The Recruiting Coordinator/Receptionist will be involved in many aspects of our hiring process and will assist the Human Resources department with a ride range of tasks related to Recruiting, Benefits, New Hire Onboarding/Orientation and more. The Recruiting Coordinator/Receptionist is a key member of the HR team and will gain an understanding of Human Resources within a global pharmaceutical company.
This position staffs the Shionogi Welcome Desk, greets visitors as needed and manages Candidate Care for on-site interviews. The ideal candidate is enthusiastic, highly organized and flexible, and has a desire to pursue a career in Human Resources. The hours for this role are 8am-4pm, Monday through Friday, working in the office Monday-Thursday and remotely on Fridays.
RESPONSIBILITIES
Recruiting Coordinator
- Schedule on-site and video candidate interviews and send confirmations
- Partner with internal recruiters to support the full-cycle recruiting process
- Arrange candidate travel logistics and manage candidate expense reports as needed
- Post jobs in our applicant tracking system and on external job boards including LinkedIn, etc.
- Assists in closing job postings in applicant tracking system, when needed.
- Maintain web-based applicant tracking system candidate records and keep data current
- Act as candidate host and provide assistance with set-up of panel interviews and presentations
- Assist with New Hire Pre-boarding and Onboarding as needed
- Act as administrative lead for Shionogi Wellness Reward Program on a quartly basis
- Gather and submit all Sunshine Act Data to Compliance department on a bi-annual basis
- Assist HR Department as needed with special projects and ongoing support
Welcome Desk
- Greet visitors and assist with their check-in through the Envoy Registration System as needed
- Direct packages and mail to the Facilities department
- When needed, monitor the Shionogi Reception Phone Line and direct messages from callers to recipients
MINIMUM JOB REQUIREMENTS
- BA or BS required with a focus in Human Resource Management highly preferred or a demonstrated interest in Human Resources Management with relevant experience
- Ability to prioritize tasks and handle numerous assignments simultaneously
- Microsoft Office is required (Word, Excel, PowerPoint and Outlook)
- Attendance is of utmost importantance
PREFERRED SKILLS & EXPERIENCE
- Internship or experience in Human Resources
- Experience with applicant tracking systems (ATS) as well as LinkedIn, Glassdoor, etc.
- Experience in a corporate environment managing many tasks at once.
ESSENTIAL PHYSICAL & MENTAL REQUIREMENTS
- Ability to articulate clearly and conduct verbal presentations with large and small audiences
- Ability to travel via automobile and/or airplane
- Ability to view video display terminal images < 18” away from face for extended period of time – up to four (4) hours at a time
- Ability to operate a computer keyboard and telephone
- Ability to sit for extended periods of time – up to four (4) hours at a time
- Ability to lift, tug, pull up to fifteen (15) pounds
