Office Manager
Job Summary:
The Office Manager undertakes a range of administrative tasks that support senior managers and/or the department and acts as first point of contact for internal and external queries.
Essential Functions
- Must be able to perform the essential functions of the position with or without reasonable accommodation.
- Provides high-level administrative support to Executives as needed
- Performs clerical and administrative tasks including maintaining records, ordering supplies, and food for corporate meetings and events.
- Manages Executive team calendars
- Responds to and sends out meeting requests and ensures schedules are kept up-to-date and accurate.
- Resolves meeting conflicts and handles reschedules to accommodate more urgent time sensitive requests.
- Coordinate scheduling of the meeting spaces
- Schedules and attends meetings, taking notes and recording minutes.
- Welcomes and directs visitors and clients.
- Answers phone calls and transfers to the appropriate department.
- Manages incoming mail and correspondence post email.
- Oversee the shredding service, postage machine, and shipping agreements/contracts for all offices
- Completes business expense claims promptly and follows up on reimbursements if necessary.
- Organizes and maintains information that may be sensitive confidential or technical in nature.
- Demonstrates initiative by identifying issues for managers/others.
- Demonstrates working knowledge of departmental functions and applies it to work
- Handle confidential documents
- Performs additional duties as assigned by executives.
- Performs other related duties as assigned.

- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Ability to work independently.
Education and Experience:
- High school diploma required; Bachelor’s degree in Business Administration or related field preferred.
- At least 12 months of related experience preferred.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
