Job Description:
We are looking for an efficient Human Resources Office Assistant to undertake a variety of HR administrative duties. You will facilitate daily HR functions like keeping track of employees records and training.
The ideal candidate will have a broad knowledge of Human Resources as well as general administrative responsibilities. He/She will be able to work autonomously and efficiently to ensure the end-to-end running of HR projects and operations. To succeed in this role, you should be familiar using HR software and tools.
Ultimately, you should be able to contribute to the attainment of specific goals and results of the HR department and the organization.
Responsibilities:
- Provide assistance to staff, managers, and senior-level officers as needed
- Create, prepare, and deliver reports to various departments and clients
- Receive and forward communications to different staff and departments
- Oversee and assist with schedules for all departments
- Organize meetings and meeting schedules for each department
- Perform clerical duties, such as filing, scanning, answering phone calls, and responding to emails
- Assist human resources to handle payroll and personnel databases
- Work with accounting departments to process invoices, make payments, and collections
- Ensure conference rooms and other meeting spaces are prepared prior to use
Qualifications:
- Strong communication skills (written, verbal, and text messages)
- At least 3 year of experience
- Expert level of experience with productivity tools, such as Microsoft Office Suite
- Familiarity with office equipment, such as computers, scanners, printers, phones, and applications
- Comfort using business email system, such as Microsoft Outlook
Availability:
- Mondays -Wednesday 9:00am-5:00pm
Required Knowledge, Skills, and Abilities:
- Maintain records of personnel-related data (payroll, personal information, leaves, turnover rates) in the database and ensure all employment requirements are met
- Support the recruitment/hiring process by sourcing candidates, performing background checks, and assisting in shortlisting
- Respond to internal and external HR related inquiries or requests
- Redirect HR related calls or distribute correspondence to the appropriate person
- Liaise with other departments or functions

- Assist supervisors in performance management procedures
- Knowledge: On Human Resources
- Knowledge: On the English language structure and content including meaning and spelling of words as well as proper grammar etiquette.
- Knowledge: On smart phones, tablets, and application use during duty.
- Skills: Have an authoritative verbal communicative ability to convey information immediately and effectively.
- Skills: Listening to others, not interrupting and asking appropriate questions.
- Skills: Able to understand written sentences and paragraphs on work related documents
- Ability: To multi-task efficiently and time manager appropriately
- Ability: To complete online training modules to keep up with our standards.
- Ability to get along with other employees and supervisors
Experience:
- Human Resources, or office administration.
- Security guard training certification preferred, but not required.
Physical/ Basic Requirements:
- Must be able to drive and stand for periods at a time.
- Must be able to walk for long periods of time, I.E Walking up and down stairs.
- Must be able to lift up to 20 pounds at a time.
- Must be 21 years of age or older.
- Must be able to pass a drug and background test.
