More about this opportunity:

The successful candidate will be proactive, demonstrating good judgment and problem-solving skills while providing administrative and office support for staff members. This position will require multitasking, providing accurate and timely results with attention to detail, and prioritizing and managing competing deadlines. The Office Assistant will also be engaged with the Department’s administrative team to support departmental projects as needed.

Duties:

The Office Assistant will:

  • Provide daily overall administrative and operational support.
  • Provide backend support to Sinotec Solar’s EPC service, including system designing and city permitting process.
  • Provide assistance on analyzing local policies regarding solar system implementation and investments.
  • Provide calendar/scheduling support, including online responses to general inquiries.
  • Create, duplicate, and distribute communication materials or assist staff with these functions.
  • Manage website and social media content and posting on multiple platforms.
  • Create graphics for marketing flyers, websites, and social media postings.
  • Place orders for office and program supplies.
  • Carry out data entry tasks.
  • Assist with general office support, including ordering, organizing, and maintaining supplies, handling incoming calls, emails, greeting and directing visitors to appointments.
  • Assist with events, including setup and break down, catering, and speaker support.
  • Assist with the coordination of staff meetings and larger special events including logistics, lodging, travel, catering and facilities.
  • Resolve billing related matters and regularly reconcile purchasing requisitions and other costs.
  • Assist with processing travel and guest speaker details, including arrangements, preparation and processing of expense reports, and associated documentation for conferences, travel, and events.
  • Assist with transferring and archiving of media (photos, videos).
  • Assist with support for online, remote, and virtual meetings and events.
  • Other duties as assigned.

Basic Qualifications:

  • AA or equivalent years of education.
  • 2 years of office experience.
  • Excellent verbal and written communication skills.
  • Excellent customer service skills.
  • Meticulous attention to detail.
  • Proficiency with office equipment (photocopier, scanner), personal computers, and Google workplace Suite (Doc, Sheet, Slides and etc.)
  • Ability to grasp new concepts, learn new procedures, and learn to use new applications and technologies.
  • Ability to work under deadlines and prioritize work effectively.
  • Must have reliable transportation to commute to work location.
  • Must be willing and able to travel occasionally for events and client visits.

Preferred Qualifications:

  • Experience with simple photo and video editing.
  • Experience with some or all of the following online applications: Zoom, HubSpot, Google suite.
  • Experience in a Higher Education environment.

What We Offer:

Sinotec Solar offers fair and equitable compensation, partially determined by a candidate's education level or years of relevant experience. While the budgeted range for the position is posted, the salary offers are based on a candidate's specific criteria, like experience, skills, education and training.

Work Schedule:

Monday through Friday, 9:00am - 12:00pm, 1:00pm - 6:00pm

Duty Location:

City of Industry, California (On Site)
