What are the responsibilities and job description for the Office Manager position at Siteimprove?
This Office Manager position requires a service minded individual with a can-do disposition, who owns and is responsible for organizing and coordinating administration duties and office procedures at Siteimprove’s Bellevue office. Your role is to create and maintain an outstanding work environment that supports Siteimprove’s unique culture while ensuring high levels of organizational effectiveness, communication, and safety.
This position also includes administrative duties to assist leadership and executive level members of Siteimprove North America.
What you will be doing
Office Manager- Serves as the point person for office duties including: facilities, mailing, supplies, vendor relationships, errands, etc.
- Liaise with facility management and vendors, including janitorial, maintenance, property management and security services.
- Coordinates with 3rd party vendors with planning and executing catering services for office meetings, events, trainings and executive leadership as needed.
- Troubleshoots and reports building issues/repair needs to facilities and property management.
- Manages proper supply, organize and orders inventories to include, beverage and office supplies, kitchenette areas, office machines, and conference rooms.
- Ensures the conference rooms and common areas are well maintained and properly set for scheduled meetings or events.
- Provides excellent on-site service to external partners, visitors and new employee onboarding while providing a positive experience during correspondence and when they are on site.
- Assist with travel arrangements (flights, lodging, transportation, etc.) for business colleagues and guests as requested.
- Partners with HR and other departments to administer and maintain policies related to the office.
- Handle incoming and outgoing mail, coordinate shipping and receive packages.
- Manages sensitive information with the highest level of confidentiality.
- Assist with calendar management as needed which includes scheduling appointments, meetings events, calls and other professional engagements.
- Assist with a variety of administrative tasks that include; tracking action items; completing expense reports; developing meeting agendas and presentations.
- Perform research as requested.
- Maintain statuses of current or ongoing projects and manages special ad hoc projects as requested.
- Assist with planning and coordinating on and off-site events (meetings, company parties and outings, business and department related events, conference calls, catering, etc.).
- Superior judgment, professionalism, and poise.
- Performs other related duties as assigned.
What we require of you
- Bachelors Degree preferred or any equivalent combination of experience and training that provides the required knowledge, skills and abilities
- 2 years of office management experience or equivalent
- Monday through Friday, on-site position with opportunities to work remote
