The Receptionist is responsible for providing support with the day-to-day operations within the office, including all receptionist duties. This position will also provide general, high quality, attentive assistance to the Executive Coordinator and Facilities & Office Manager.
PRIMARY DUTIES / RESPONSIBILITIES
Office Support Functions:
- Manage reception area and front door communicating effectively internally and externally to maintain professional and safe environment at SMA
- Maintain, Organize, and stock supplies for office and perform a weekly inventory of all supplies and assist with placing orders to the appropriate vendors.
- Maintain, Organize, and stock supplies for kitchens and breakrooms
- Maintain clean, orderly appearance in kitchen, conference rooms and Solar Academy
- Collect, sort, and distribute incoming mail
Provide Administrative Support to Executive Coordinator and Facilities & Office Manager, as well as needed support for Sales, Finance, Legal and Operations:
- Assist with PO creation
- Assist with expense reporting for department heads
- Assist with AmEx reporting/reconcile for Executive Coordinator and Facilities & Office Manager
National Trade Show Support:
- Assist sales team in the preparation of presentation material
- Assist Marketing with any tasks in preparation for the trade shows or other events
Conduct research / prepare reports and presentations for internal and external meetings:
- Coordinate and support operational and/or strategic projects
- Generate presentations, memos and reports in MS Word, Excel and/or PowerPoint
Organizational:
- Schedule and coordinate both internal and external appointments / meetings
- Assist employees with expense reporting review and submission to finance
- Assist with the office administration
- File and retrieve corporate documents, records, and reports
- Train new employees on Concur Travel and Expense procedures
Others:
- Communicate with other assistants as needed to coordinate activities
- Verbal and written communication with national and international business partners and customers
- Other duties as may be required or assigned.
REQUIRED TRAINING (TYPE / DURATION / FIELD / ADDITIONAL TRAINING)
- A high school diploma or GED is required.
- An associate degree in e.g., business administration or similar would be a strong plus.
REQUIRED RELEVANT PROFESSIONAL EXPERIENCE (TYPE / DURATION)
- 2 - 3 years of receptionist/administrative experience required.
Salary : $45,760 - $52,000
