Job Summary
We are seeking a highly organized and proactive Office Administrator to oversee the daily operations of our office. The ideal candidate will possess strong clerical skills and be adept at supervising staff while ensuring smooth office management. This role requires excellent communication abilities, as you will be the first point of contact for clients and visitors. The Office Administrator will also be responsible for managing schedules, planning events, and supporting the training and development of team members.
Duties
- Supervise front desk operations, ensuring a welcoming environment for clients and visitors.
- Manage office supplies and inventory, placing orders as necessary to maintain stock levels.
- Oversee calendar management for team members, scheduling appointments, meetings, and events efficiently.
- Coordinate event planning activities, including logistics, catering, and venue arrangements.
- Assist in Onboarding new staff members.
- Maintain accurate clerical records and documentation related to office operations.
- Communicate effectively with staff, clients, and vendors to facilitate smooth workflow.
- Implement best practices in medical office management when applicable to ensure compliance with industry standards and HIPPA.
Requirements
- Proven experience in office management or administrative roles.
- Strong supervisory skills with the ability to lead a team effectively.
- Excellent clerical skills with attention to detail in all tasks performed.
- Proficient in calendar management and event planning processes.
- Ability to communicate clearly and professionally, both verbally and in writing.
-Bilingual in English and Spanish is a plus
- Experience in medical office management is a plus but not required.
- Familiarity with training development techniques is desirable.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
