- POSITION SUMMARY
- Understands EHS mission, vision and values and communicates same to staff when assisting the Transcription Coordinator with planning, organizing, supervising, scheduling and monitoring transcription functions and staff within the Central Transcription Department.
- KEY RESPONSIBILITIES
- Maintains confidentiality of patient information and Elliot Hospital matters.
- Maintains QA process with Transcription Coordinator for all transcriptionists as well as providing detailed feedback to help minimize errors and supports the continuous efforts to conserve resources while providing individualized high quality service.
- Performs annual evaluation with transcriptionists.
- Assists Transcription Coordinator with maintaining department calendar with comp days, time off and approve time off/comp day requests for all MTs.
- Assists transcriptionists to clarify dictating or transcription issues.
- Is proficient in all aspects of the transcriptionist s job description including: Medical language specialist transcribes dictation by physicians and other healthcare providers for all reports including, but not limited to: history & physicals, consultations, progress notes, operative procedures, discharge summaries, clinic notes, psychiatric notes, diagnostic testing reports, outpatient department notes, and EPN & EPS office transcription.
- Edits, revises, and clarifies transcription without altering the meaning or original intent/style of the dictator.
- Uses reference materials to facilitate the accuracy, clarity and completeness of reports. Maintains reference materials in a retrievable format.
- Flag reports requiring corrections or clarification by the dictator prior to authentication. Corrects information incorrectly entered by dictator that may impact turnaround time.
- Serves as liaison between providers and transcription software vendor (Nuance) with regard to technical issues.
- Assists Transcription Coordinator with interviews, and training the new transcriptionists.
- Gives input to Transcription Coordinator with formal/informal performance evaluations or job performance improvement plans.
- Is responsible for interacting with IT Department when errors occur that result in incorrect electronic filing to medical record.
- Is responsible for department corrections and editing in a timely fashion including discerning correct encounter, etc. and following through with above-mentioned QA and feedback to MTs, as well as assisting Medical Records staff (techs and coders) with corrections.
- Fills-in for Transcription Coordinator when necessary at Physician Orientation.
- Interacts with physicians either by phone or in person regarding ESIG and/or general dictation issues.
- Maintains and update voice and text records (physician information, practices, etc.) and update with information provided from Medical Staff Affairs office.
- REQUIRED KNOWLEDGE & SKILLS
- Ability to prioritize workflow.
- Ability to receive detailed information through oral communication, to transcribe various degrees of dictator's dictation with diverse accents and dialects.
- Basic PC knowledge, knowledge of advanced keyboard functions of Microsoft Word, knowledge of dictation and transcription equipment and other equipment as specified.
- Ability to expand job-related knowledge and skills to improve performance and prepare for advances in operative techniques/instruments, pharmaceuticals and terminology.
- Ability to attend education/information seminars and to assimilate materials received.
- Knowledge of medical transcription guidelines and practices.
- Ability to recognize, interpret and evaluate inconsistencies, discrepancies and inaccuracies in the transcription process.
- Ability to work with frequent interruptions and respond appropriately to unexpected situations.
- Requires excellent organizational skills, with the ability to plan and perform a wide variety of duties requiring general knowledge of policies and procedures.
- Requires considerable judgment to work independently toward general results, devising methods, modifying or adapting standard procedures to meet different conditions, making decisions based on precedent and policy.

- EDUCATION/EXPERIENCE/LICENSURE
- Education: High School diploma or equivalent required.
- Experience: Five (5) years of transcription experience required.
- Certification/Licensure: Medical Transcription Certificate required.
