- GENERAL SUMMARYWorks under the supervision of the Vice President of Clinical Integration. The Executive Assistant's primary job function is to serve as a liaison and coordinator of all functions and activities relating to the Executive Staff, Board of Directors, Executive Leadership Teams, and Administrative Staff. Responsibilities include but are not limited to initiating and coordinating follow-thru and resolution of meeting outcomes. Coordinates administrative support and related office operation duties to the Vice President of Clinical Integration.
- QUALIFICATIONS
Education:
- High School Diploma or successful completion of an equivalent High School Exam Required
- Course work in typing/word processing required
Licensure:
- None
Experience:
- One to two years related work experience required, to gain full knowledge of secretarial, office and administrative procedures.
Interpersonal Skills:
- Substantial interpersonal skills necessary in order to use tact and discretion when accepting and relaying confidential information, communicating SOMC policies and procedures, and when communicating with the public, patients, and co-workers.
Essential Technical/Motor Skills:
- Ability to use hands for repetitive simple grasping and fine manipulation for typing, answering the telephone, copying, and use of other office equipment.
Essential Physical Requirements:
- Physical demand is sedentary to light. Occasionally may lift up to 15 pounds. Stands and/or walks one to four hours per day. Sits five to eight hours per day. Occasional bending, squatting, reaching.
Essential Mental Requirements:
- Analytical ability necessary to gather/interpret data for reports, direct calls and customers to appropriate persons, deal with upset customers.
Essential Sensory Requirements:
- Ability to see, hear and speak clearly is required.
Exposure to Hazards:
- Works in good physical surroundings in an office setting.
Other:
- Working knowledge of word processing software (i.e., Microsoft Word, WordPerfect, etc.) and worksheet software (i.e., Lotus 1-2-3, Microsoft Excel, Smartsheet, Microsoft Access, etc.). Knowledge of Microsoft PowerPoint and Microsoft Outlook preferred.
- JOB SPECIFIC DUTIES AND PERFORMANCE EXPECTATIONS
- Coordinates the activities of the SOMC Executive Staff meetings, follows through with senior leaders on the outcomes of the meetings including but not limited to special projects and presentations.
- Coordinates the SOMC Executive Staff educational conferences and seminars.
- Coordinates and provides administrative support to various committees in daily operations and monthly meeting preparation, including retreats, educational conferences, self-assessment process and corporate minute taking.
- Assists the President/CEO, Executive Staff and Board of Directors by independently composing, and typing correspondence, reports, and minutes (frequently including confidential and sensitive information).
- Serves in rotation as Department Safety Champion and participates in HICS emergency drills.
- Completes travel arrangements for Executive Staff and staff members from departments reporting to Vice President of Clinical Integration.
- Provides notary service for providers and patients.
- Responds and resolves community and employee inquiries.
- Coordinates administrative support and related office operation duties to the Vice President of Clinical Integration.
- Provides proofreading services to Executive Staff.
- While representing SOMC, it is expected that Executive Assistants dress
professionally. Professional dress includes the following:
- Women - Suit jacket, dress pants/skirt, close-toed shoes, hose/leg covering
and if working in a clinical setting, a lab jacket or uniform is appropriate.
- Men - Suit jacket, dress pants, tie, dress shoes and if working in a
clinical setting, a lab jacket or uniform is appropriate.

- Performs other duties as assigned.
