What are the responsibilities and job description for the Office Manager position at SPACE A+P?

Space Architects Planners is looking for an Office Manager to join our team in our Chicago office. The Office Manager is responsible for overseeing the general administrative functions and any events or activities in the office.

The Office Manager role creates and maintains a pleasant work environment, ensuring high levels of organizational effectiveness, communication, key-record keeping, client relations and marketing support. The ideal candidate will have prior experience as an office or assistant manager working in an office supporting multiple levels of employees.

Responsibilities include but are not limited to:

Project Support

· Project set up and archiving

· Printer setup

· Permit filing assistance (City Hall runs, address certification pick-up and payment)

· AIA and contract issuance and tracking

· Maintain consistent Job ID in BQE/Printer/Job List

Marketing Support

· Proactively updates website (bios, images, marketing content, press, portfolio, etc.)

· Assist with awards and contest submission

· Respond to PR requests

· Creates, manages, and tracks social media posts

· Client follow-up and feedback

Client Relations

· Organize annual client event

· Organize personal gifts, holiday gifts, and cards

· Manage monthly lunch & learn calendar and organize events

· Maintain client contact information

General Office/Administrative Support

· Notary Services

· Copying and scanning

· Filing and retrieving documents, records, and reports

· Procure and maintain office supply inventory

· Manage and direct office vendors - IT, cleaners, pest control, landscaping, security, etc.

· Reception

· Greet and direct visitors

· Answer and direct in-bound phone calls

· Manage incoming and outgoing deliveries and mail

· Meeting support

· Organize holiday party, 20th anniversary celebration, special occasions, etc.

· Order food for meetings, special occasions, etc.

· Conference room set-up

· Meeting tech set-up and support

· Manage cleaning help and cleanliness of office

Required Skills

· Proven experience as an Office manager, Executive assistant or Administrative assistant with a minimum of 1 year of experience

· Proficiency in MS Office (MS Excel and MS Outlook, in particular)

· Hands on experience with office machines (e.g. fax machines and printers)

· Excellent time management skills and ability to multi-task and prioritize work

· Attention to detail and problem solving skills

· Excellent written and verbal communication skills

· Strong organizational and planning skills in a fast-paced environment

· High School degree; additional qualification as an Administrative assistant will be a plus

Part-time (25 hours per week - 5 hours per day Monday through Friday)

$50,000 per year
