Assistant Manager (Maritime), Fulltime, 40 hours per week job duties:
The Assistant Manager will oversee and assist our team of Medical Care Coordinators as they schedule and coordinate medical, dental, and emergency care for mariners who live and work aboard commercial shipping vessels that are traveling to the United States, Canada, Mexico, and Panama. We coordinate care for our patients remotely from our corporate office in Portland, Oregon.
The responsibilities for this role include:
- Oversight of maritime medical coordination activity from initiation to completion, which includes medical, dental, and emergency care; immigrations formalities; transportation; prescription medications; and client communications related to medical needs.
- Supervision and support of the case management team.
- Creating and implementing efficient staffing plans, including on-call rotation schedule.
- Responding to daily team needs such as client/customer escalation, communications with vessel owners, manager, agents, and other parties, reviewing medical records, preparing documentation, etc.
- Engaging with direct reports on a personal level, showing concern for them as human beings.
- Offering constructive feedback and encouragement; actively taking the initiative to coach and develop case managers.
- Defining, implementing, and tracking goals for the case management team.
- Process improvement.
- Initial and ongoing assessments of vessel schedules and operations in relation to clinical needs.
- Effectively communicating and providing clear and concise documentation according to company standards and regulatory requirements.
- Demonstrating critical thinking, portraying a professional image of competency to customers and staff, demonstrating effective verbal and written communication.
- Fostering a healthy work environment through an approachable and visible presence.
- Other duties as assigned.
To be successful in this job, you will need:
- A Bachelor’s Degree is preferred, but at a minimum a high school diploma or its equivalent. An equivalent combination of education and/or experience will be considered.
- At least 3 years of experience in the maritime industry, with extensive knowledge of vessel operations and service scheduling considerations. Agency work is highly preferred, but not required.
- Previous management experience leading, engaging, and motivating a team to deliver results is essential.
- A professional level of verbal and written communication skills is a must.
- Excellent interpersonal, employee coaching and employee development skills with the ability to provide constructive feedback and encouragement.
- Excellent organizational, time management and multi-tasking skills with attention to detail.
- The ability to analyze and processes information, identify problems and trends, and develop effective solutions and strategies.
- A demonstrated ability to adapt, innovate and lead in an environment that moves at a rapid pace, where change is common.
- The ability to work with department managers to achieve company goals.
- Skills in the evaluation of quality and appropriateness of care.
- Knowledge of discharge planning and admission status/classification level.
- The ability to receive, retain, and document complex information.
- Enjoyment of working with various personalities and cultures with the ability to maintain a friendly professional demeanor.
- Excellent computer skills in a Microsoft Windows environment. Must include knowledge of Outlook, Word, Excel, and the ability to learn new software. QuickBooks experience is a plus.

- Shifts for this position are typically 6:00 am - 2:30 pm and/or 12:00 pm - 8:30 pm
