What are the responsibilities and job description for the Contractor Scheduler position at Spring Hills Home Care Services?
The Contractor Scheduler will be responsible for staffing/scheduling of caregivers and nurses for all clients and ensuring staffing/scheduling needs are met on an ongoing basis. Responsible for some recruiting, interviewing and hiring of caregivers; ongoing supervision of caregivers to ensure quality care is delivered per client care plans. Performs various supervisory activities for scheduling appropriate caregivers to clients, manage high telephone volume on a daily basis, ability to answer email and phone calls after office hours and other duties as necessary. Reports to the Director of Home Care Services.
Essential Functions:
- Staff and schedule for our clients open and ongoing shifts in a timely manner.
- Interview, hire, evaluate, and terminate personnel in accordance to company policy.
- Answer all incoming calls and direct calls to the proper personnel
- Provide in-take discovery to ascertain specific needs of clients
- Use best judgment in assigning care personnel to the appropriate clients based on needs and preferences
- Understand the specific needs of the client and assign the appropriate caregivers immediately
- Document all pertinent information on client records
- File and maintain all documents appropriately. Distribute documents to the appropriate staff member for approval or completion
- Maintain up to date available lists for expediency in staffing
- Maintain schedule in accurate and legible form
- Share on-call responsibilities – see below
- Communicate with contract agencies regarding schedules, evaluation of staff
- Assist in grievance/complaint resolutions
- Relay client care updates and changes in condition to the Director of Home Care Services
- Implement new policies and procedures as directed
- Comply with applicable governmental laws and regulations
- Complete projects assigned by the Director of Home Care Services / Business Office Manager
On-Call Responsibilities:
- Be a part of our on call rotation. On Call will include after 5pm Monday through Sunday, some weekends and holidays
- Answer incoming calls promptly and efficiently. Expected average response time is 10-15 minutes
- Promptly communicate issues/concerns/action taken to Director or RN Supervisor
- Complete and maintain On Call report
- Review On Call report with appropriate personnel weekly/daily as needed
Non-Essential Functions:
- Attends all required training, in-services, and staff meetings.
- Strives to maintain a safe working environment through the prevention of accidents, the preservation of equipment, the achievement of safe working practices, and by practicing proper infection control measures.
- Maintains a positive and professional demeanor toward clients, visitors, families, and co-workers.
- Adheres to all policies and procedures of Spring Hills, LLC
- Performs all other duties as assigned.

Experience and Education: High School Diploma or equivalent. Efficiency in computer software such as Microsoft Word, Excel, and PowerPoint. Homecare experience preferred. 3-5 years of supervisory experience in a homecare agency.
