TITLE: Office Manager
REPORTS TO: Chief Executive Officer
EXEMPT/NON-EXEMPT: Exempt
PAY LEVEL: 5 ($46,800 to $57,720)
SUMMARY OF POSITION
The Office Manager is responsible for bookkeeping and overall office management, including performing various confidential and other administrative duties, working closely with the Chief Executive Officer. The Office Manager is a point of contact for external customers, and also provides support for partnership sales through invoicing customers, as well as working with the subscription sales manager on record keeping and processing subscriptions.
The job is ideal for someone with strong bookkeeping skills (preference for QuickBooks Online experience) and ability to quickly learn various software platforms, including Google Workspace. Organizational skills, attention to detail and ability to multitask are essential.

EDUCATION/EXPERIENCE
Associate degree in accounting, business management or related field preferred. Minimum of 4 years full-time employment in a responsible position involving bookkeeping, office management, database management or related work. Salary commensurate with experience.
ABILITIES/SKILLS
1) Strong bookkeeping skills, with proficiency in QuickBooks Online preferred.
2) Strong technical skills, with proficiency in Google Workspace and Microsoft Office software preferred. Ability to quickly learn new software is required.
3) Strong data entry skills.
4) Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks.
5) Organization and the ability to multitask to complete a wide variety of tasks.
6) Attention to detail to ensure tasks are completed thoroughly and correctly, and ability to prioritize deadlines.
7) Good interpersonal skills and ability to work in a team environment, coordinating the completion of tasks with others.
8) Ability to adapt to a varied workload and varied work days.
9) Adhere to Daily Citizen standards of ethical conduct.
GENERAL DESCRIPTION OF DUTIES
- Maintain all accounting and bookkeeping functions, including payroll. Ensure proper procedures are followed, bills are paid and records are maintained in a timely fashion. Produce reports as needed for management. Maintains confidentiality.
- Serves as secretary to the Daily Citizen Board of Directors.
- Coordinate with Missouri State University on use and maintenance of office space, including handling security/key cards, telephones, parking permits, work orders, or other issues.
- Monitor and order office supplies as required, including maintaining kitchen and other shared office spaces.
- Work with various service vendors, such as HR (payroll/benefits) and IT support.
- Pick up and process mail and packages (incoming and outgoing).
- Answer telephone calls and emails from readers, customers and clients and directing them to relevant staff if unable to directly address the customer’s needs.
- Onboard and assist with training new employees.
- Work with management to improve office operations and procedures.
- Perform other duties as assigned.
REQUIREMENTS AND WORKING CONDITIONS
■ Platforms used: QuickBooks Online, Stripe, Microsoft Office Suite, Google Workspace, Adobe Creative Suite. Training will be provided where necessary.
■ Extensive computer use; good keyboarding skills required.
■ Extensive phone use; speaking and hearing required to give and receive necessary information in person and on the phone.
■ Seeing/depth perception required for computer, reading, handling paperwork, and driving.
■ Some driving is required, primarily within the area. Employee must have a valid driver’s license, an operating vehicle, an acceptable driving record, and maintain state-required vehicle insurance.
■ Some after-hours and weekend work is required.
■ Strenuous activity occasionally required for assignments, such as lifting and carrying supplies for events.
■ Job involves: Standing 5%; Walking 20%; Sitting 75%
■ Minimal lifting, carrying, pushing, or pulling.
■ Minimal climbing, balancing, stooping, kneeling, crouching, crawling, reaching, or handling.
