Title: Operations Supervisor  

Department: Administration 

Status: Full-time, Exempt 

Reports to: Operations Manager 

Hours: Sunday-Thursday 8:30am-5:00pm, occasional weekend and evening hours as needed 

Compensation:  $68,000/year

St. Mary’s Center, www.stmaryscenter.org, is a community of hope, healing, and justice. We provide nutrition, advocacy, counseling, transitional housing, and social support to seniors and preschoolers in the heart of Oakland. Our Community Center welcomes Seniors with hot meals six days a week, and our programs support Seniors in becoming and remaining housed. St. Mary’s Center is co-developing permanent supportive housing as part of a comprehensive, collaborative community development strategy along the San Pablo Avenue corridor. We are proud of an excellent multidisciplinary team delivering high-quality services to people with urgent needs. Charity Navigator awarded us a 4- star rating for fiscal management and integrity for six consecutive years, and St. Mary's Center was recognized as the California Association of Nonprofits District 9 Nonprofit of the Year in 2021.  

 

Position Summary 

The Operations Supervisor will support the agency at a critical time of transition and growth. If you like wearing multiple hats, this job is for you. The position includes but is not limited to supervising the facilities team (3 employees), supporting operations, facilities, transitional housing inspections, client move-ins/outs, procurement across the agency, and supervising Sunday lunch operations.  

The Operations Supervisor will bring a positive can-do attitude to a vital, thriving social service agency with a strong mission and executive team.  

 

Duties and Responsibilities include (but are not limited to): 

 

Facilities (50%) 

  • Conduct weekly supervision with facilities team to review and delegate upcoming assignments 
  • Oversee agency Helpdesk ticketing system 
  • Support in-house janitorial/maintenance and security team, ensuring proper tools and equipment are stocked 
  • Coordinate Transitional housing room and site inspections internally and externally with Oakland Housing Authority 
  • Coordinate with the facilities team to ensure receipt and stocking of supplies at three transitional housing locations 
  • Coordinate with outside vendors including electrical, plumbing, locksmith, and other contractors, negotiating services and dispatching staff to sites as needed 
  • Maintain accurate and timely records of work orders and authorizations 
  • Maintain facility key distribution and tracking 
  • Support annual safety drills and compliance inspections 
  • Support emergency operations trainings, evacuation, and business continuity plans 
  • Support IT procurement and record keeping 

Procurement (40%) 

  • Coordinate with Preschool, Program, Community Center, and Administrative staff to procure and maintain supplies and materials in a cost-efficient, reliable manner 
  • Work with team leaders, managers, and department heads to learn departmental needs and goals 
  • Research product needs and seek reliable sources and pipelines of vendors 
  • Submit, track, and receive orders daily 
  • Maintain record of current vendors and agency accounts 

 

Sunday (10%) 

  • Act as site supervisor during Sunday Lunch operations 
  • Perform administrative duties and reconcile Ramp card transactions 
  • Support the Sunday team with setup, cleanup, and volunteer coordination as needed 

 

Qualifications 

  • Five years' experience with increasing responsibilities 
  • Initiative-taking team player with a commitment to social justice 
  • Highly proficient with Microsoft Office Suite, particularly Outlook, Word and Excel 
  • Excellent writing, editing, proofreading, analytical and verbal communication skills 
  • Ability to drive projects through to completion and meet deadlines 
  • Exceptional attention to detail, accuracy and confidentiality dealing with sensitive information in a regulated environment 
  • Self-motivated with an ability to think outside the box 
  • Bi-lingual in Spanish is a plus.

  • Must be able to operate office equipment: telephones, copy, scanner, and fax machines. 
  • Must be able to communicate over the telephone and take notes. 
  • Must be able to attend in-person or web-based meetings, sitting, listening, taking notes. 
  • Must be able to prepare documents, research data on websites, and work on computer (with mouse or trackpad), operations up to 7 hours per day.
