Pay: $20-$22 per hour
Hours: Monday-Friday, 8 AM-5 PM
While working as an Account Coordinator, you will have a wide variety of responsibilities including but not limited to creating work orders in support of the Sales Department, assisting with the creation of proposals and responses to RFPs, 3rd party vendor management, and co Project Management Team and Operations Team.
Essential Functions:
- Create, update, and verify that work orders are in place and correct for the next day's required crews.
- Notify/confirm with clients a day in advance that the MFS crew is scheduled, work with Operations to answer questions regarding crew status on the day of the job, and act as a point of contact for communication with ongoing clients who request work for the following day.
- Create and manage a timeline for the creation of proposals coordinate information gathering and set up meetings with required personnel to complete proposals a day in advance of the due date.
- Create the proposal with all criteria detailed in the RFP, update and communicate the progress of RFP creation with the appropriate Salesperson, and ensure that a final review is signed off by the appropriate Salesperson a day in advance of the RFP due date.
- Coordinate 3rd Party Service Work by adhering strictly to the process. This includes obtaining multiple bids, communicating with the Salesperson, creating the work order, obtaining the PO, scheduling work, updating the Salesperson and client before, during, and after work is performed, obtaining an invoice, and closing out a work order.
- Coordinate and track all COIs prepared for all locations by client and document and track any additional insurance purchased by a client, ensure all paperwork and documentation is processed in an accurate and timely manner, and perform data entry to complete customer and vendor onboarding forms.
- Utilize Adobe PDF and DocuSign software to fill in data and circulate for signatures and request Purchase Orders from customers, as needed, after the quote is approved and at the same time as the COI request.
- Post-move communication with customers to ensure everything is completed successfully and circulate post-move surveys to select customers to complete short surveys via clicking the link.
- Create template checklists/SOPs to efficiently track and manage the above tasks and timelines and potentially (but not required) assist with invoice instruction creation and submission to accounting, in collaboration with the Sales Team

This position requires the candidate to demonstrate excellent customer service skills, communicate effectively, both verbally and in writing, establish and maintain effective working relationships, assume responsibilities, and exercise good decision-making skills. While accurately completing tasks the candidate will demonstrate resourcefulness, interpret a wide range of information, and work in a team environment or under minimum supervision. The ideal candidate will have to have 3-5 of experience in the field or a combination of school and experience, and a college degree or 2-year AAS degree is a plus.
