Job Summary:

The Receptionist & Admin Support role serves as the face of the Star Tribune to guests and other visitors. This position will ensure the smooth running of our office environment and reception area. The Receptionist & Admin Support handles a diverse group of external and internal callers and provides occasional administrative support to senior management; excellent judgement and organizational skills are required.

Essential Job Functions and Responsibilities.

  • Greet all guests, clients, employees, candidates, and visitors at the Star Tribune front desk.
  • Contact employees to announce their visitors so they can be escorted to the proper person/location.
  • Maintain day-to-day presentation and cleanliness of receptionist and waiting area.
  • Assist with providing directions to and from the Star Tribune office when needed.
  • Answer phones and direct all calls accordingly.
  • Arrange & maintain conference rooms for meetings, lunches, and various events.
  • Maintain inventory of supplies (general supplies, pantry, kitchen, etc.)
  • Maintain coffee and water machines.
  • Act as back up and assist with mail functions as needed.
  • Create employee badges.
  • Respond and enter facilities requests.
  • Provide administrative support to our senior leadership members that could include scheduling and general administrative tasks.

Qualifications: 

  • Preferably 2 years of client service/receptionist experience in a professional service environment.
  • High school diploma or GED is required.
  • Exceptional customer service skills & excellent communication skills, both verbal and written.
  • Strong at multi-tasking and likes a variety of work.
  • Ability to communicate confidentially and clearly in a variety of mediums: in person, via email, virtually, phone calls, etc.
  • Knowledge of MS Office Suite and proficient computer skills.
  • Highly organized and takes pride in getting the details right.
  • Strong sense of integrity and ability to manage confidential information.

Hours: Monday – Friday, 8:00am – 5:00pm

Relationships:

  • Immediate Supervisor: SVP, Operations
  • Direct Reports: None
  • Works closely with Executive Business Partner
