The Department of Agriculture is recruiting for high-level administrative support within the Commissioner’s Office. Position will provide services for the entire Department by backing up receptionist on phones and mail distribution, and conference/meeting resources. management. Position will provide support entering requisition documents, tracking and monitoring contracts, and managing cell phones for the Commissioner's Office. Position will assist with the department’s rule making process, project and initiative support, and event scheduling.
Duties:
Manage the Department’s fleet program including updating processes, policies, and procedures. Train with the Department of Personnel to ensure we are following state guidelines, rules, and regulations. Work with Division fleet coordinators to develop appropriate internal structure.
Process and reconcile purchase requisitions, receiving reports, vendor invoices and phone billings.
Monitor and track contracts and assists with assembling required documentation related to construction and facilities maintenance work.
Assist in the scheduling and supplies of all conference rooms and conference/meeting related resources at the 305 Interlocken campus using Google calendars. Position will understand the technology/audio visual systems in each conference room and assist in training other users or trouble shooting when needed.
Provide back-up coverage for department-wide reception duties: answer incoming calls to the Department and Commissioner’s Office, using printed resources, general department knowledge or the internet to provide information and/or direct callers to the appropriate office. Greet visitors to the Department.
Provide general office administrative support as requested. Make copies, scan and email documents, send faxes, compile packets of information, and mail materials as requested. Support new or special projects and initiatives. Make phone calls to designated lists of recipients to share or obtain specific information.
Provide support for events. This may include scheduling, set-up and clean-up, and staffing events.
Serve as Department liaison for externally led meetings at the request of Management and provide support for Commissioner’s Office scheduled meetings. Conference support includes assisting in all meeting logistics such as providing lists of external attendees to the security desk, escorting guests to meeting location, room arrangement, making coffee, ordering and delivering meals, and giving instruction and/or help attendees with the use of conference phone or audio visual resources, and other technical needs.
Serve as support for the Department representative for Greening Government by gathering and inputting data into appropriate monitoring systems, including oversight of electric vehicle charging stations. This may include attending and representing CDA at meetings.
$50,088.00 - $60,000.00 Annually
- Four (4) years of high-level administrative experience; or
- Appropriate education will substitute for the required experience on a year-for-year
basis. - Part-time experience will be prorated.
Preferred Qualifications:
- Knowledge and experience in agriculture.
- Colorado State service experience related to the duties of this position.
Automotive industry or fleet vehicle administrative experience.
- Must possess and maintain a valid Colorado Driver's License with the ability to independently travel.
