POSITION DESCRIPTION: Procures commodities and services in accordance with all applicable rules and guidelines. Prepares and processes fiscal paperwork for purchases made by Electronic Procurement Requisitions in the MyFloridaMarketPlace system (MFMP) for Purchase Orders and Purchasing Card charges in Florida Accounting Information Resources subsystem (FLAIR) according to current directives and procedures. Process invoices/warrants in accordance with provisions and requirements of Section 215.422. F.S. Maintain the supply room and assure commonly used office supplies are readily available. Coordinates needed repairs for District Construction and residency offices. Organize, track and maintain the purchasing files and other files in accordance with all applicable rules and guidelines. Perform special assignments, research and report preparation.
Prepares personnel actions including, but not limited to, recruitment, selection and classification packages. Works with management and staff to prepare, and research as necessary, personnel paperwork in accordance with department requirements. Keeps up-to-date on the latest Human Resources procedures and policies. Disseminates information via various methods i.e., e-mail, flyers, posters, one-on-one briefs or in group settings. Coordinates with the District Human Resource (HR) office to assist employees with general human resource issues, Family Medical Leave Act, Worker's Compensation, People First System and job opportunities.
Acts as Unit Training Coordinator responsible for gathering, organizing, inputting and disseminating training information for/to staff. Provides assistance with the Learning Curve system. Assists Leadership with the construction engineering training program by registering, scheduling and monitoring the required courses and the development of staff annual training plan. Follows established rules, procedures and/or guidelines. Performs additional related functions, as needed.
Prepares travel documents and travel reimbursements. Perform front desk receptionist coverage or any other area to promote and enhance the production level of administration overall; including communication/ switchboard, security, customer service, information dissemination, administrative reports and other administrative support tasks, as assigned. Creates memorandums, letters, spreadsheets, reports, presentations and schedules consistent with approved formats as needed by staff.
Type correspondence, organize and research filing systems. Handles the unit’s Public Records request. Provides assistance to the Plans Review Engineer using the departments databases and provides support, as assigned.
Serves as the Timekeeper for cost centers 606, 613 and 636. Operates a variety of standard office equipment including, but not limited to, fax, copiers, scanners, and computers. Organizes and distribute materials including supplies and other office equipment. Provide support in the annual inventory process by locating and scanning assigned property and equipment.

MINIMUM QUALIFICATIONS: A high school diploma or its equivalent; 2 years experience in a related field can substitute for the high school diploma or equivalency.
