Program Support Supervisor 2
Full-time, Permanent
This position reports to the Address Confidentiality Program (ACP) Manager. With delegated authority and under general direction, this position supervises the ACP mail services unit, and acts as the program liaison with local, state and federal agencies for all ACP mail related issues. The position sustains a customer centered team and work environment.

Oversee the day-to-day operation of the ACP mail services unitTasks include: - Determine the priority and workflow of all daily mail-related tasks according to program needs. Ensure mail services are completed in a timely manner and meet established performance expectations.
- Assist in planning, implementing, and evaluating policies related to confidential mail services; devise and implement mail related procedures in accordance with program statutes and policies.
- Educate staff, participants, local and state agencies about ACP mail services administrative codes and program processes. Identify reoccurring problems and potential solutions in confidential mail forwarding processes. Conduct research, initial contact, and respond to participants, agencies, and the USPS to ensure resolution.
- Project annual mail services unit budget, administer expenditures, recommend cost savings measures.
- Coordinate with staff to ensure procurement of mail services unit supplies.
- Track mail services unit metrics. Collaborate with program and office staff to ensure accuracy of statistics.
- Troubleshoot and resolve escalated participant issues.
- Receive, log, and follow up on subpoenas and service of process.
Supervise ACP mail support teamTasks include: - Monitor mail team attendance and work performance; approve leave requests and timesheets.
- Make recommendations to the manager regarding staffing changes.
- Provide back-up support for mail services unit as needed.
- Participate as an ACP representative in the National Association of Confidential Address Programs.
Miscellaneous
Tasks include: Required Qualifications:- Three years of experience independently responding to and resolving inquiries, complaints, and client/customer service issues
- Two years of supervisory experience performing the following tasks: interviewing, hiring, training, assigning, and/or directing work and evaluating staff
- Ability to efficiently use a personal computer and applicable software to successfully perform the essential job functions of the position.
- Current driver’s license or have requested and obtained an appropriate accommodation
Preferred/Desired Qualifications:- Knowledge of the workings of the ACP program
- Experience working with survivors of domestic violence, sexual assault, stalking and/or harassment.
- Two years supervisory experience training, assigning, directing, and evaluating work.
- Ability to communicate and work effectively with people from diverse backgrounds.
- Ability to efficiently use a personal computer and applicable software to successfully perform functions of the position.
- Demonstrated ability to multi-task, develop, oversee, organize, implement, evaluate outcomes, and modify tasks.
- Demonstrated ability to maintain confidentiality.
Working Conditions
In this position, the incumbent works primarily in an office setting which may require sitting and/or standing for long periods of time. The standard work hours are Monday – Friday, 8am – 5pm with the ability to work irregular hours and weekends as needed to support business activities, which are generally scheduled in advance. Occasional local travel may be required. The incumbent must be willing to work with diverse groups and individuals with compassion and sensitivity. Many customers are exposed to sensitive issues such as domestic violence, sexual assault, and stalking. The incumbent must be able to maneuver up to 30 pounds with or without reasonable accommodation.Special Requirements- Prior to a new hire, a background check including criminal record history will be conducted.
