OBJECTIVE
The Business Office Manager will ensure that the resident financial/business records are completed and maintained properly and will organize and maintain facility financial records in compliance with all facility, state and federal regulations. Furthermore, the Business Office Manager will supervise, coordinate, and perform business office functions under the direction of the Executive Director in accordance with sound accounting practices.
QUALIFICATIONS
The requirements listed below are representative of the knowledge, skill, and/or ability required.
1. High school graduate; bachelor's degree preferred.
2. Equivalent related work experience in LTC setting; office management experience preferred.
3. Caring person with a desire to work with the frail and elderly.
4. Practical knowledge of medical terminology and record keeping preferred.
5. Ability to maintain confidentiality related to residents information.
6. Ability to prioritize duties and be detailed orientated.
7. Ability to understand and follow work assignments and have knowledge of coding and filing systems.
8. Ability to utilize computers and other electronic devices for tasks such as timekeeping, in-servicing and documentation.
9. Ability to work with minimal supervision, take initiative and make independent decisions.
ESSENTIAL FUNCTIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
a. Maintains accurate order of resident business file;
b. Identify and participate in process improvement initiatives that improve the customer experience, enhance workflow, and/or improve the work environment.
c. Prepare and submit reports on a timely basis as required and directed by the Regional Business Office Director, the company and governmental agencies.
d. Accumulate and maintain, in an organized manner, vital statistics relating to admissions, discharges, deaths, transfers and daily census of facility residents.
e. Responsible for monthly Medicaid, Medicare, and other insurance billings along with timely follow-up with intermediaries on delinquent payments.
f. Monitor and manage the accounts receivable collection process.
g. Pursue past due accounts persistently and maintain proper back-up documentation.
h. Obtain and submit all required documentation to bill third party payers as per program/company guidelines.
i. Maintain financial records including cash receipts, cash disbursements, accounts receivable, accounts payable, payroll journal, and general ledger, as directed.
j. Attend department head meetings, seminars, and workshops, when approved, to assure current knowledge of State and Federal laws and regulations pertaining to bookkeeping functions.
k. Responsible for ensuring daily bank deposits are made and reconciling all facility cash and checking accounts.
l. Verify that resident trust is accurately recorded.
m. Provide statistics to audit and reimbursement for year-end processing.
n. Maintain an accurate accounting of patient trust funds including monthly reconciliation and quarterly statements to responsible parties. Reconcile petty cash for patient trust fund daily.
o. Participate in the resident admission process.
p. Other special projects and duties, as assigned.
Salary – $50,000 - $60,000 (based on skills and years of experience)
