CLASSIFICATION SUMMARY:

Provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate employee, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.

  • Answers and screens a multi-line phone system, directing calls to appropriate employees.
  • Greets all visitors to the company.
  • Receives, sorts, and distributes incoming mail.
  • Coordinates the pickup and delivery of office shipments.
  • Manages office supply inventory and orders as necessary.
  • Schedules appointments for management group with some calendar maintenance.
  • Helps plan and execute company events for employees and clients.
  • Prepares correspondences and documents.
  • Completes offsite errands as needed.
  • Organizes conference and meeting room bookings to avoid scheduling conflicts.
  • Maintains proper attendance and punctuality to ensure that the department is operated in an efficient and cost effective manner.
  • Ability to work on a Lipsey site or Lipsey Logistics customer location site while performing the essential functions of this position.
  • Uses, carries and answers their cell phone for business purposes as determined by the assigned job duties and the department head
  • Other duties as assigned.

MINIMUM QUALIFICATIONS:

  • High school diploma or GED;
  • One year professional office experience, preferable as a receptionist or administrative assistant; a combination of relevant education, training or experience sufficient to perform the essential duties of the job will be considered;
  • Reliable transportation required

SKILLS AND ABILITIES:

  • Positively represents the company in all onsite and offsite interactions;
  • Exceptional time management and organizational skills;
  • Ability to problem-solve issues;
  • Above average written and oral communication skills;
  • Ability to maintain a professional demeanor in all situations;
  • Experience with Microsoft Office Suite products

PHYSICAL DEMANDS

Positions in this class typically require: climbing, balancing, stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, fingering, grasping, feeling, talking, hearing, seeing and repetitive motions.

WORK ENVIRONMENT:

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
