Required Qualifications (as evidenced by an attached resume):
Bachelor's Degree (foreign equivalent or higher), degree completed by December 2024. Two (2) years of full-time experience in a college or university setting in one or more of the following areas: major or academic advising, transfer advising, counseling, teaching, student programming/activities, orientation, student services, or enrollment/retention areas. (Related student work experience may be considered.)
Preferred Qualifications:
Master's Degree (foreign equivalent or higher) in higher education, student affairs, social work, counseling, History, Sociology, or a related discipline. Experience with Google Apps, PeopleSoft, Degree Works, Brightspace, and/or Navigate. Experience conducting presentations including facilitating discussions. Experience coordinating programs and/or events. Additional years of academic advising experience in a college or university setting in one or more of the following areas: major or academic advising, transfer advising, counseling, teaching, student programming/activities, orientation, student services, or enrollment/retention areas. Experience interacting with a diverse student population in an academic environment.
Brief Description of Duties:
This is a full-time position, however, the incumbent will support both the History Department and the Sociology Department, splitting their time equally in each office on a daily basis. Both departments are located in the same building. The Staff Assistant position will provide in-person, individualized administrative help and support to undergraduate students who have a major, minor, or academic interest in History or Sociology across all four years. The Staff Assistant is also an active leader and participant in assisting with the orientation and registration processes, representing both departments at advising programs and events throughout the year, developing and implementing advising strategies for academic success, and maintaining accurate student records. This position is responsible for building connections with students, faculty, and staff, and will serve as a liaison to other student-centered support services including but not limited to Academic and Transfer Advising Services, the Undergraduate Colleges, Student Support Team, and the Career Center. The incumbent must possess the ability to be flexible, as well as outstanding written, verbal, and interpersonal communication skills. The incumbent should also have experience successfully working independently as well as part of a team with a collaborative approach to problem solving. Someone with strong organizational and time management skills with exceptional attention to detail is also highly preferred. Duties include:
- Academic Administrative Support:
- Provide high quality, pro-active academic advising on an ongoing basis throughout students' SBU career, including regular communication about courses, degree requirements, policies and procedures. This includes one-on-one meetings on campus as well as interacting with students via phone, email, and other communications media that is most helpful for students. Meet with students to plan course schedules for upcoming semesters. Monitor course enrollment and academic progress. Ensure that requirements for the major or minor will be met in time for graduation, and follow-up with students regarding any missed courses. Actively provide support, follow-up, and discuss success strategies to undergraduate students. Serve as a drop-in advisor during peak add/drop/swap periods and academic deadline dates.
- Programs and Events:
- Represent the departments at advising events and advise students on-site as appropriate. Participate in Orientation, Admitted Student Day, and Commencement. Collaborate with campus partners and student support services to plan and implement academic success initiatives.
- Marketing, Social Media, and Electronic Communications:
- Update Brightspace and website for departmental announcements & events. Create and update social media accounts to publicize programs & events, experiential learning and internship opportunities, reminders about academic deadlines & policies, and more. Assist in the creation of digital newsletters for alumni, students, and the campus community. Create both print and digital marketing materials using Canva, FedEx, Pug's Prints, where appropriate.
- General Office Tasks:
- Monitor shared email accounts. Pick-up and distribute mail. Staff the front desk as needed. Collect electronic syllabi for each term. E-file and use OnBase to save undergraduate forms that have been signed by the UPD.
- Other duties or projects as assigned as appropriate to rank and departmental mission.
Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.
