Job Description

POSITION OVERVIEW

The Recruiting Assistant is primarily responsible for providing comprehensive administrative support to the recruiting team including job postings, scheduling phone screens and interviews, database management, document creation, meeting coordination and notetaking.  Ultimately, you will help us hire effectively and keep our hiring process running.  If you have some experience in recruiting and you’re an excellent organizer and communicator, we’d like to meet you. 

This position will office in our Downtown Dallas HQ location. 


PRIMARY RESPONSIBILITIES

  • Maintain data within an applicant tracking system including posting job requisitions
  • Coordinate the issuance and tracking of automated applicant evaluation tools such as Culture Index Surveys
  • Assist recruitment team with scheduling phone screens and interviews
  • Conduct reference checks as required
  • Prepare and manage spreadsheets, slide decks, and documents
  • Assist with special projects such as documentation of department procedures
  • Assist with maintenance of a document library in a shared directory
  • Organize and coordinate meetings; take, type, and distribute minutes
  • Implement and maintain office systems such as LinkedIn and Smart Recruiters (or comparable ATS)
  • Maintain schedules and calendars
  • Arrange and confirm appointments
  • Organize logistics for internal and external recruiting events
  • Handle general inquires from hiring managers and basic software demos
  • Administrative support to the Senior Vice President as needed

Qualifications

  • Prior administrative experience in a corporate office environment
  • Strong verbal and written communication abilities; Practical interpersonal skills
  • Strong attention to detail
  • Ability to maintain confidentiality and appropriately handle sensitive information with tact and discretion
  • Proficient in Microsoft Office (Outlook, MS Teams, Excel, MS Word, etc.) to include the ability to coordinate and schedule using Outlook and MS Teams
  • Experience with multiple office tools such as Adobe Suite, PowerPoint, SharePoint, and Applicant Tracking Systems
  • Team-oriented with the ability to flex in support of timelines, and deliverables
  • Strong internal customer focus, especially in delivering high-quality results
  • Highly organized with strong follow up skills and the ability to multi-task
  • Able to think critically to solve complex, time-sensitive inquiries and data issues
  • Good attendance and dependability are a MUST!
