Office Manager
The Office Manager role is a customer facing position that will assist in the management of the accounting, marketing, and administration duties of the dealership. This position will be located at our dealership in The Villages, Florida and will work closely with the company’s management team in Iowa.
This position reports directly to the Accounting Manager, and indirectly to the General Manager.
Job Responsibilities:
- Enter accounts payable entries into software
- Issue payments for AP entries
- Create and send customer invoices
- Assign GL codes to credit card and vendor payments
- Maintain all W-9’s and 1099’s
- Create and implement a local marketing strategy to increase sales and service opportunities
- Collaborate with the corporate marketing team to broaden the consumer base both locally and domestically
- Generate sales leads and new revenue streams through new or improved strategies
- Work with the corporate team to manage social media platforms and strengthen the company brand via a strong online presence
- Answer phone calls and delegate to proper departmental staff when appropriate
- Create a welcoming and professional atmosphere by greeting visitors at the front desk and on the show room floor
- Work with customers to resolve issues and answer questions
- Manage delegation of emails received through the company inbox
- Order and maintain office and facility supplies
- Maintain and update all information in appropriate spreadsheets and programs
- File and maintain all corresponding paperwork
- Utilize available resources to organize important paperwork in a digital format
- Assist with title work and VIN assignments
- Mail and bank runs as needed
- All other forms of necessary admin and clerical work
Qualifications:
- Strong teamwork skills
- Ability to problem solve to reach an end goal
- Extremely detail oriented and organized
- Basic knowledge of accounts/accounting
- Accounts payable and receivable experience preferred
- Office software and equipment experience
- Competent with Microsoft Office software suite
- Good communication skills
- Ability to handle confidential information properly
- High school diploma or GED equivalent
