The opportunity:
The Events & Experience Manager (US) oversees our in-office service program supporting an outstanding hospitality experience in our workplace, including an impressive slate of in-person meetings, hybrid events and employee services, providing expert knowledge to meet corporate objectives, quality standards and business goals.A creative solutions expert, the Manager ensures the superb delivery of food and beverage programs, employee experience services and event logistics, leading the operational and administrative coordination of the site team. The Manager is responsible for hospitality operations at Wellesley (Boston MA), Portland (Portland ME) as well as at other US office including Hartford CT, Baltimore MD, Milwaukee WI, Kansas City MO and offsite locations.
The Manager takes a hands-on role supporting onsite events and experiences for a range of business partners, building connections and enhancing the experience in the office. The Manager works directly with business partners to offer strategic advice, reserve space, confirm travel and event logistics. The Manager is onsite daily supervising activities, improving operations and coaching team members, to ensure the smooth delivery of key activities, and ready to support last minute and special requests. The Manager provides direction and supervision for team members, catering partners and other vendor services, establishing and iterating onboarding, training and day-to-day practices.
As a resource for business partners across Sun Life, Broadcast and Event Services provides event management, production, broadcast, AV and multimedia services for a robust portfolio of corporate experiences. Reporting to the Senior Manager, Strategy and Operations, the Manager is a leading member of the BES team.
How you will contribute:
Onsite daily at Wellesley and/or other sites, leading team members to create an inspiring workplace experience for all employees and guests. Organizing and communicating program offerings, coaching on space use and offering tours. Coordinating hospitality experiences, moments of togetherness and surprise and delight initiatives to connect people in the workplace. Educating and tracking space usage as well as making recommendations for improvements. Coaching and troubleshooting for self-serve AV and other amenity support
Responsible for all aspects of event/meeting services for onsite conferences, town halls and receptions including advising on agenda strategy, detailing event itineraries, managing vendors, food and beverage management, set-ups, wayfinding, staffing, safety planning and post-event reporting. Ongoing collaboration with AV services and other teams to deliver services. Daily onsite presence to fulfil event delivery, directing teams and vendors to ensure the seamless execution of the event agenda
Assigning team members to schedules, programs and projects, responding to unique requests and service needs. Onboarding and training team members, coaching and providing feedback to deliver elevated standards of service and an excellent professional working environment. Ensuring the team adheres to professional dress standards and vendor uniform requirements
Ongoing collaboration with the audio-visual services and technology teams, helping partners troubleshoot self-serve systems and escalating support requests as required
Onsite coordination of food and beverage programs, working closely with onsite vendors and stakeholders, processing invoices, reconciliations and making recommendations for service improvements
Administrative coordination of expenses including purchase orders, approvals, chargebacks, reconciliations ensuring any financial processing is completed. Management of site inventory, maintain organization and operational resource systems and verification processes and working closely with team members to ensure site equipment plans, logs and maintenance are properly coordinated
Helping to ensure the security and organization of the office environment, assisting with resets and adjustments from daily use. Ensuring high levels of cleanliness, safety, and hygiene are maintained as well as identifying hazards and addressing problems if they arise. Health and Safety representative, acting as Fire Warden and able to provide onsite First Aid
Adhering to company policies and industry best practices for the event planning processes, pre-, during and post-events
Commitment to continuous improvement with the aim of making processes as efficient as possible, while delivering quality results
What you will bring with you:
A passion for corporate events and hospitality services. You're an accomplished event professional, with an inspiring track record of using a wide range of venues and virtual event platforms, working in close collaboration with production, technical and multimedia teams
You have 5 years of experience in hospitality environments, leading and training corporate event services teams, and are familiar with AV service operations
You have an outstanding attention to detail and enjoy creating and maintaining administrative and operational systems with an exceptional degree of accuracy
You regularly show initiative and drive, as a self-starter you're confident in your ability to get the job done
You have an excellent track record in fast paced, deadline driven, high-volume and live production environments
You have advanced technological abilities including Excel and expertise in the MS Office Suite, and the ability to adapt to learn a wide range of databases/CRM systems and web/virtual event platforms
You have expense management experience, tracking expenses and reconciliations
You build strong business relationships with stakeholders, vendors, staff, and team members; you've got a strong ability to negotiate and resolve issues smoothly and effectively
First Aid training is an asset
Knowledge of AV industry-related equipment and terminology is an asset.Involvement in industry-related associations is an asset
Travel between office sites and other locations is require (up to 30%)
Must possess valid Driver's license and have access to a vehicle
