POSITION OVERVIEW
The Coordinator, Community Outreach is responsible for curating community connections, collaborations, conversations, and outreach for in-person film screenings and events in Utah, and providing administrative support for the department.
Working closely under the Director, Community Programs, you will support Sundance Institutes commitment to providing access to screenings and events to the Utah community.
This full-time, temporary position is based out of our Park City, Utah office from Monday, April 15, 2024 through Friday, August 30, 2024 with regular opportunities to work from home. Extended hours, including some evenings, weekends, and holidays to meet deadlines and respond to on-call needs as assigned will be required.
Top priorities include but are not limited to

Identifying local marketing in kind outreach partners and community nonprofit collaborators for designated film screenings.

Planning and executing in-kind recognition and any onsite activation (post-film discussions, events, etc.) for community collaborators with support from Marketing and Operations teams.

Acting as a representative of the program to internal and external collaborators, panelists, including supporting introductions and discussion moderation as needed.

Arranging photographers for screenings, collecting images post-screenings, and coordinating with the Social Media and Archives teams for website posts.

Collaborating with Marketing on event promotion materials, for both electronic and in-person distribution.

Scheduling in-person tabling events to engage communities and share information about Sundance Institute and its programs.

Collaborating with the Social Media team to develop a strategy around onsite activation.

Updating the Utah Community Programs website with local happenings and program updates.

Updating and maintaining the Utah-based community contacts databases with accurate and up-to-date information.

Tracking weekly team meeting notes to follow up with team members regarding tasks, update deadlines, and help ensure deadlines and goals are met.

Supporting outreach inbox management, including responding to community inquiries in a timely manner.

Collecting program statistics and materials for grant reporting, such as attendance, demographics, attrition metrics, screengrabs, and photographs.

Supporting with writing a comprehensive grant document report including program summary, statistical graphics, and recommendations for future success.

Updating procedures document and creating recommendations for next years events.

Filing contracts, invoices, and collaboration agreements in their respective folders for tracking and reconciliation.

Supporting with updating budgets and tracking actuals.
You have the following direct or transferable skill sets:

2 years experience working in marketing, community outreach, or related.

Outstanding written, verbal, and interpersonal communication skills to work effectively with a variety of people.

Excellent organizational skills, including the ability to prioritize.

Ability to maintain confidential information.

Demonstrated knowledge of Utah communities and nonprofit organizations preferred.

Working knowledge of Customer Relationship Management (CRM) databases such as Airtable and proficiency in Google Suite preferred.

Legal authorization to work in the United States.

Valid drivers license and ability to successfully complete an MVR background check.
