JOB DUTIES:

Workers’ Compensation

  • Manage worker compensation claims and records; maintain the internal database.
  • Report claims (and updates) to workers’ compensation carrier, in-house legal counsel, company safety manager, and senior management.
  • Follow up on and actively work on all worker's compensation incidents/claims from beginning to end to ensure the proper care and treatment for the employee; along with the accurate and timely reporting of the incident to the WC carrier.

FMLA/ADA/Personal Leave Requests

  • Responsible for administering leaves such as FMLA and ADA, including preparing and sending necessary paperwork to employees, processing claims, and tracking time off.
  • Analyze FMLA/ADA claims to determine eligibility and certification in compliance with state and federal regulations and company policy; approve or deny requests.
  • Monitor and track FMLA/ADA; maintain FMLA/ADA spreadsheet.
  • Handle accommodation requests.

Hiring/Onboarding/Termination

  • Coordinate with managers on hiring needs; place and monitor job postings/job board postings; inform applicants about job details and benefits; pre-screen applicants; refer qualified applicants to managers; assist with onboarding/orienting new employees.
  • Maintain new hire packets and update as needed.
  • Assist with the processing of terminations/resignations.

Employee Records

  • Maintain employee records and overall integrity of employee files.
  • Record employment transitions (i.e. hire, separation, leaves of absence, etc.).
  • Maintain confidentiality and security of employee records, files, and information.

Employee Relations

  • Serve as an initial point of HR contact for employees on HR matters.
  • Receive, handle and direct employee phone calls, emails, and in-person requests.
  • Respond to questions, requests, and concerns from employees and management regarding HR policies, procedures, and guidelines.
  • Provide guidance on HR issues and escalate sensitive issues to management.
  • Develop recommendations and guide managers toward a resolution on various HR issues, assist managers with disciplinary issues, and direct disciplinary actions to senior management as needed.
  • Manage employee complaints; handle the internal investigation process; work with in-house counsel, as needed, to conduct and document workplace investigations.

Training

  • Facilitate training and development programs for employees.
  • Assist in the development and implementation of training, policies, and procedures.

Safety

  • Assist the safety manager with workplace safety initiatives, completing government-required paperwork, and managing employee driver files.
  • Manage the database for DOT drivers, including license checks and DOT drug testing.
  • File certificates of insurance.

Payroll

  • Assist with payroll functions including processing & serve as payroll backup.
  • 401K – maintenance, changes, new enrollment, withdrawal.

Reporting/Compliance

  • Ensure minimum wage notices, worker’s compensation posters, and all regulatory compliance for federal and state are up to date and properly posted.
  • Maintain and record OSHA incidents and records.

Employee Events

  • Oversee, plan and coordinate company events, such as monthly luncheons, annual picnic, and the company holiday party.
  • In charge of all decorations and supplies for the parties.

Administrative

  • Create and maintain various filing systems and databases.
  • Provide guidance to managers on company policies, including EEOC, harassment, discrimination, FMLA, workers’ compensation, accommodations, and benefits.
  • Provide administrative support to HR, safety, management, and in-house counsel, as needed, in areas such as research, guidance, recommendations, record-keeping, pulling documents, file maintenance, data entry, and day-to-day needs.
  • Make photocopies; mail, scan, and email documents; and perform other clerical functions.
  • File documents into appropriate employee files.
  • Prepare correspondence as needed/requested.
  • Work collaboratively with all departments and all levels of employees as needed.
  • Carry out various administrative tasks as required.
  • All other duties as assigned.

Minimum Requirements:

  • Education: A degree in human resources or a related field is preferred, but not required.
  • Experience: At least two years of experience in human resources is required.
  • Strong focus on Workers' Compensation and FMLA leave are strongly preferred.

Pay and Benefits include:

  • Guaranteed 40 hours per week plus overtime if needed
  • Hours are Monday to Friday from 7:30 am to 4:30 pm
  • This is an in an office position, we do not do remote or hybrid work
  • Office location is in Longwood/Sanford area
  • Monthly paycheck
  • 100% paid healthcare that includes medical, vision, and dental for employees only. (New hires will be eligible after 90 days)
  • 9 paid holidays. You will start earning holiday pay after 90 days of employment. We are always closed on Thanksgiving Day and the day after Thanksgiving, Christmas Day, the day before Christmas, the Day After Christmas, and New Years Day.
  • 7 sick days after 6 months of employment (it will be prorated on the first year depending on when you completed 6 months of employment)
  • 10 vacation days after 1 year of employment (it will be prorated on the first year depending on when you completed 12 months of employment). You will earn one extra vacation day every year up to 22 vacation day
