Job Description:

The State University of New York System Administration, located in Albany, New York, is seeking an Executive Assistant to support the Office of Health and Hospital Affairs (OHHA). The Health and Hospital Affairs team works with campus and health sciences leaders to help establish, lead, and support the strategic direction and operations of SUNY's healthcare facilities including the academic health centers, hospitals, veterans home and college of optometry. We provide strategic oversight, guidance, and advocacy for the healthcare facilities, student mental health and wellness, healthcare workforce needs, public health readiness, and much more. The SUNY health and hospitals portfolio is complex, broad, and critically important to the health and wellbeing of New Yorkers.

The Executive Assistant supports OHHA's organizational success and achievement of our strategic mission. The Executive Assistant for OHHA will be responsible for supporting the Senior Vice Chancellor (SVC) and helping with organization of the team's work. This individual will report to the Senior Vice Chancellor and work closely with the Assistant Director of Health Policy & Research and other OHHA team members.

The Executive Assistant is an important member of the team whose responsibilities include:

  • Actively managing the SVC calendar, setting up meetings, briefing on upcoming meetings, and collating relevant documents in advance.
  • Organizing the SVC travel arrangements, completing reimbursement forms, and ensuring agency requirements are followed.
  • Monitoring and approving SVC's direct reports' time records.
  • Assisting with a project tracking system for the work of the team.
  • Helping organize PowerPoint presentations and agendas as requested.
  • Initiating requisitions in Interview Exchange as requested.
  • Attending meetings when requested, taking notes, and helping with follow-up.
  • Monthly monitoring and reporting of the office's budget expenditures.
  • Ensuring accurate and timely scheduling of a variety of meetings including Task Forces, Workgroups, Advisory Committees, and other critical meetings.
  • Working closely with the Chancellor's Executive Leadership Team (ELT) and their assistants to promote unity, clear communication, meeting details and support.
  • Assisting with special projects as assigned.


Requirements:

  • Minimum of an Associate's Degree
  • 2 years of experience in a similar role
  • Highly detail-oriented and discrete in all work-related matters
  • Strong interpersonal, verbal, and written communication skills
  • Proficient in Office 365, especially Word and Excel
  • Excellent organizational skills, able to manage multiple priorities
  • Exceptional drive to complete tasks in a timely fashion

Salary is dependent on a variety of factors, including but not limited to, experience, education, training, and certifications. The range for this position is $56,000-$67,000.
