You will provide a variety of clerical and general office tasks to support Office, Operations, and HR. Job Description: You Are: An enthusiastic, positive individual with a “can-do” attitude Committed, tenacious, and persistent in the pursuit of your, your team’s, and company goals An ethical individual who is respectful of and respected by others An individual who pays attention to detail in your own and others’ work A results-oriented individual who is resourceful and creative in overcoming challenges and identifying necessary actions to execute on individual and team objectives Accountable, fulfilling commitments and reaching objectives consistently An individual who is adaptable with a good sense of timing who understands which actions will be most effective at specific moments and can recognize when a situation is urgent A good listener with the ability to build trusted partnerships, internally and externally Professional and able to maintain confidentiality, emotional control, and composure Goal-oriented, setting clear “stretch” goals for yourself and others and holds others accountable and set high expectations of self and team Someone who is autonomous and willing to make decisions independently when needed Proactive and forward-thinking with the ability to anticipate needs or challenges and provide options to the business Able to work effectively in a fast-paced environment requiring extensive multi-tasking and dealing with unplanned operational needs Skills You Have: Verbal Communication Written communication Task / Time Management Technology Application Problem Solving Decision Making Analysis Creativity Meeting Facilitation Networking External Awareness Presentation Skills Highly Organized Process-Oriented Practical Key Responsibilities in the Role: Coordinate and perform a range of office/division support activities; serve as a liaison with other divisions/departments, external contacts, clients Update calendars and schedule and coordinate meetings, division or office events, interviews, appointments, and/or other similar activities for office staff, which may include coordinating travel and lodging arrangements Oversee and/or process day-to-day administrative items as assigned (i.e. expense reports, supply requisitions, management of office facilities) Greet, welcome, and direct guests as soon as they arrive at the office Provide administrative support for the staff such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquiries Write and distribute email, correspondence memos, letters, and forms accurately and timely Receive, sort and distribute daily mail/deliveries. Keeps information confidential. Assist in the support of other department or division personnel, i.e. project managers, estimators, and business development Order office supplies and keep inventory of stock. Ensure adequate supplies and materials at all times Ensure office is tidy, clean, and presentable. Order cleaning and storage materials as necessary to maintain an organized office Assist division/department in problem solving, project planning, and development and execution of stated goals and objectives Coordinate, procure, maintain Division Fleet inventory, mobile devices, and other Swinerton technology Oversee Office safety procedures and coordinate with Division Safety Manager Approve invoices for office supply and/or equipment purchases or functions, such as mobile telephones, equipment, office supplies, etc. Maintain professional manner with clients and employees Represent Operating Group in Corporate Social Responsibility activities and outreach as needed Support companywide giving initiatives and Signature Programs Complete other responsibilities as assigned Minimum Skills or Experience Requirement: Bachelor's degree in Business or Technical Minimum of 3-5 years office/clerical experience or equivalent combinations of training and experience Experience with InDesign plus Experience with AIA 305 form Willingness to learn and use technology and business critical programs Working knowledge of standard business practices, including office administration, purchasing, and employment practices Proficient in written and verbal English language communication skills, including business writing and professional telephone manner Ability to make administrative/procedural decisions and judgments Ability to create, compose, and edit written materials Reliability, dependability and flexibility Assertive and able to communicate at a high level Effective interpersonal skills SUMMARY OF BENEFITS: This role provides the following benefits: medical; dental; vision; employee assistance program; pre-tax saving and spending accounts; basic term life insurance and AD&D; short and long term disability; 401(k) & savings plan; MSA Financial coaching; Care.com; Gympass fitness membership; DoorDash delivery subscription; paid vacation; sick other voluntary benefit options.
